Dictate a note, scan a photo or import a meeting transcript

Three ways to fill a note without a keyboard. Speak and the words are transcribed. Photograph a page and its text is read off the picture. Connect your meeting notetaker and a call’s summary lands in Notes by itself.

Dictating and scanning live in the note’s own menu on the desktop workspace, the three-pane Notes layout from 1024px up. Meeting transcripts work on both a desktop and a phone.

To record a voice note:

  1. Open the note.
  2. Press the ⋯ in the note’s header.
  3. Pick Voice note and start talking.
  4. Open the same menu and pick Stop & transcribe.

While it records, the ⋯ button turns red and pulses, so you can see it’s still listening. The words are added to the end of the note, and a toast says Voice note transcribed.

If nothing usable was heard, the toast says Heard nothing transcribable and the note is left alone. A browser that blocks the microphone gets Microphone permission was blocked.

A photo of a whiteboard, a handwritten page or a printed form becomes text you can edit.

  1. Open the note.
  2. Press the ⋯ in the note’s header.
  3. Pick Scan text from photo.
  4. Take the picture, or choose one you already have.

The text goes to the end of the note, and the toast says Scanned text added. A picture with no readable words gets No text found in that image and changes nothing.

Note that the photo itself isn’t kept. Only the words go into the note, so attach the image as well if you’ll want it later.

Neither option appears on a locked note.

Meeting transcripts come from Fireflies or Wispr Flow. You connect one once, and after that every recorded call can become a note.

  1. In Notes, press From meeting in the left rail.
  2. For Fireflies, paste your API key and press Connect.
  3. For Wispr Flow, press Connect Wispr Flow and sign in there.

The Fireflies box links to the page in Fireflies that holds the key. Wispr Flow needs Notetaker and Cloud Sync switched on in Wispr Flow first.

On a phone the same window opens from the calendar button beside the search box, labelled Note from a meeting.

  1. Open the note, then press Meeting in its header.
  2. Pick the call from the list, or search for it.
  3. Tick Include full transcript if you want every line.
  4. Press Add to this note.

The note gets the meeting’s title, date and attendees, then Summary and Action items, then the transcript when you ticked it. A transcript stops at 500 lines, and the note says how many more are in the source.

Save as new note makes a note of its own instead. With no note open, you get Save as new note alone.

Connecting turns on Auto-create a note after each meeting. The app checks every 15 minutes for calls recorded since you connected, and files each one as a note. Older calls stay in the list for you to pull in by hand.

Manage connections, the gear beside the search box, holds the rest under Meeting note format:

  • Summary, Action items and Full transcript decide what an automatic note contains. The first 2 start ticked, and Include full transcript starts from your Full transcript choice.
  • Add action items to my Tasks turns up to 5 action items per meeting into tasks.
  • Push notification when a note is created is ticked to begin with.
  • Style rewrites each note with AI as Client meeting note (AI) or Coaching debrief (AI), or follows an instruction of your own up to 500 characters.
  • Notebook is where the notes go, Meetings unless you change it.

A line above the format says how many meetings were imported this week and which was last.

Can I dictate or scan on my phone?

Not from these menus. On a phone, type / in the note and pick Voice note to dictate.

A call ended an hour ago and no note appeared. Why?

Its summary probably isn’t ready yet. A meeting that arrives empty is skipped and tried again on later checks, for up to 2 hours after it started.

I get an error on the meeting list. What now?

Press Fix connection on the red line. It opens the connection screen, where you can reconnect or disconnect that notetaker.

Does a scan or a voice note ever replace what I wrote?

No. Both add to the end of the note and leave the rest exactly as it was.
