Who can see your notes, journal and activity

Three things you write in the app have three different audiences. Your notes are private. Your journal is shared the moment you save. Your activity is open to your whole district.

Your manager gets no special view of your notes. What they do see of your journal and activity is set out below.

A note is yours alone. Nobody in your agency or district can open it, your manager and your district admins included. Notes & Tasks carries an Only you badge to say so.

The single exception is the ActivityTracker app owner’s account, which support tools use to see an account the way its member does. A note you lock with Lock note stays scrambled even there.

A note leaves your hands only when you share it. To make a link:

  1. Open the note and press Share.
  2. Press Create link.
  3. Pick who can open it and whether they can edit.

The link starts as Anyone with the link and Can view, and it’s copied for you. Change who can open it to Friends only or My district only, and what they can do to Can edit.

Anyone with the link needs no account at all. Set it to Can edit and a stranger with the link can change your note.

Note that everyone in your district follows you automatically, so Friends only reaches your whole district and anyone else you follow or who follows you.

Stop sharing kills the link at once. Links never expire on their own, and copies people saved to their own notes stay with them.

Publish to feed is separate. It puts a copy in your district feed, and Unpublish takes it down.

The journal isn’t a diary any more. The Shared badge beside its title means what it says: Save reflection files your weekly reflection, and your team reads it in Community under Reflections.

What you type before saving is a draft kept on this device. Open the info mark beside Saving shares it with your team. for that rule.

Once it’s saved, three groups can read it:

  • Your teammates, in Community, which lists your own agency.
  • Your whole district. A saved reflection is readable district-wide, and an admin’s view of Community can list every agency.
  • Your agency’s Managers and Owner, who are emailed your answers when you file this week’s reflection. That email is on by default.

Deleting it takes it out of Community. An email that already went out can’t be pulled back.

Entries written before the journal shared anything are listed apart, under a heading that marks them as older private entries for you only. They stay private until you press the share icon on one.

Everything you log can be read by everyone in your district. That covers the activity and its notes and photos, and a closed case’s policy name, FYC and premium.

Your profile page shows your points and streak to the same people. Someone outside your district reads Stats aren't shared outside their district instead.

People who follow you also see your activity names, points and times in the following view of the activity feed.

Approve followers, under My preferences then Privacy & security, makes new follow requests wait for your OK. It doesn’t stop the automatic follows inside your district.

There’s no switch to hide your own activity. A district admin can take you off the leaderboards, but your district can still read what you log.

Can my manager read my notes?

No. Only you, anyone you share a link with, and the app owner’s support account.

Is there a private journal?

No. Saving shares it. Keep private thoughts in a note.

I logged a focus session privately. Who sees it?

It stays out of the team feed. It’s still an activity, though, so your followers see it in the following view, and your district mates follow you automatically. See run a focus session.

Buttons on your own Log page. It hides nothing from anyone else.
