Add, edit and suspend a user
Users is the first tab of the admin dashboard, at /tracker/admin/users. The
District Users card lists everyone in every agency of your district, with a line
counting the users and the agencies.
Every district admin can open the list and edit a record. Adding people, changing their agency role and suspending them are narrower than that, and each section below says who the button is for.
Find someone
Section titled “Find someone”Type a name or an email into the search box, or narrow the list with the agency
filter and the role filter. The role filter offers Owner, Manager and Member.
Each row shows the person’s agency, their role, a status badge and the date they
joined. The badge reads Active, Pending or Suspended. On a phone the table
turns into one card per person, with the same buttons.
A row ends in up to 3 icons: Edit user, Suspend and Delete user. Hover or
long-press one to read what it does.
Add a user
Section titled “Add a user”Create User only appears if you’re an Owner of at least one agency. Its Agency
list holds only the agencies you own, because a new person adds a seat to that
agency’s bill.
To add someone:
- Open
Usersand pressCreate User. - Type the
Full Nameand theCorporate Email (Login). - Add a
Preferred Nameor aPersonal Emailif you have them. - Pick the
Agencyand theAgency Role. - Leave the password blank, or type one.
- Press
Create User.
A blank password sends them an invite email to set their own. A password you type has to be at least 6 characters. The refresh button beside the box makes a 12-character one, and the copy button puts it on your clipboard.
When you type a password, they’re made to change it the first time they sign in.
Agency Role offers Manager and Member only. Open the info mark beside
Agency Role for why: an Owner is set later, from somebody who’s already a member.
Note that an email that already has an account is refused. Invite that person to the agency instead, as in Approve join requests and invite your team.
Change someone’s role
Section titled “Change someone’s role”On rows in an agency you own, the Role cell is a dropdown rather than a badge.
Pick Owner, Manager or Member and it saves straight away.
An agency always keeps at least 1 Owner, so the last one can’t be moved down. To
hand the agency over, make the new person Owner first, then change the old one.
Edit a record
Section titled “Edit a record”Edit user opens Edit User, with 3 tabs. Press Save Changes when you’re done.
Basic holds the name, Title, Birthday and Corporate Email. The corporate
email is also their login, so changing it changes the address they sign in with.
Work holds Agency, Agency Role, System Role and Goals & Targets. Setting
System Role to Admin makes them a district admin, and open the info mark beside
System Role for what that covers. The change only sticks when a district admin
or the app owner saves it.
Goals & Targets sets Weekly Points Target, the yearly FYC target and
Avg Case Size. FC Code, Contract Date and Phone Number sit under
More details (optional).
Reset a password
Section titled “Reset a password”To give someone a new password:
- Press
Edit useron their row. - Open
Security & Access. - Type a password under
Reset Password, or press the refresh button for one. - Press
Reset Password.
The password has to be at least 6 characters, and they’re asked to change it at
their next sign-in. Only an Owner of their agency or the app owner can do this,
and the same rule covers changing their Corporate Email.
Suspend someone
Section titled “Suspend someone”Suspending blocks their login, hides them across the app and releases their seat. Their logged activity is kept.
To suspend from the list:
- Press
Suspendon their row. - Read the dialog.
- Press
Suspend.
The Account Status block under Security & Access does the same, and adds an
optional Reason that stays on their record.
The message that follows says what happened to the bill: the seat count before and after, from the next cycle. An agency with no active subscription is told nothing changes on the billing side.
Reinstate sits where Suspend was and needs no confirmation. Its message says
whether the seat came back free or with a setup charge.
Note that you can’t suspend yourself, and an Owner has to become a Manager or
Member first. Suspending is for an Owner of that person’s agency or the app
owner. In the list the icon isn’t drawn for anyone else, and in Account Status
the button greys out with the reason written under it.
Can I delete a user?
Not unless you’re the app owner. Delete user erases the person and all their
logged activity, and can’t be undone. Suspend anyone who may come back.
Why is there no Create User button?
You don’t own an agency. The button is drawn only for Owners, and only lists the agencies they own.
Somebody shows Pending. What does it mean?
Their registration hasn’t been approved. People you create here start as Active.
Will a suspended person still show on the leaderboard?
No. Open the info mark beside Account Status: suspended users drop out of
leaderboards and lists, and reinstating brings everything back.
