Assign a task to a teammate and follow the comments

Any task you made can go to a teammate. It lands on their list and rings their bell, and it stays on yours under Assigned to others so you can watch it. The comment thread on the task is where the two of you talk it through.

The people you can pick are the teammates in your district. You’re never in the list yourself.

To hand a task over:

  1. Open the task.
  2. Open the picker under Assignee, which reads Just me (unassigned) until you change it.
  3. Pick a teammate.
  4. Press Save, or close the task.

On a phone the same picker hides behind the Assignee chip in the row of chips. Closing the sheet saves it.

Picking Just me (unassigned) again takes the task back. Typing + and a name while you capture a task does the same job in one line. See Capture a task from anywhere.

To hand over several tasks:

  1. ⌘-click or Ctrl-click the rows.
  2. Press Assign to… in the bar at the bottom.
  3. Tick the teammates, or press Everyone (N).
  4. Press Assign to N teammates.

The first teammate you tick takes over the tasks you selected. Everyone else you tick gets a copy of their own, so each person ticks off their own. Open the info mark beside the dialog title for the short version.

The toast names who got them and carries Undo, which takes the copies back too.

A window opens the next time they’re in the app: New task assigned to you, or a count when there are several. View the task goes straight to it, and Got it closes it. It shows once, and never again on any device.

The task sits in their own list with a from chip naming you. They can work it, comment on it and complete it. They can’t hand it to somebody else, so the editor shows Assigned to you by and your name instead of the picker.

Right-click a task you assigned that isn’t done yet, and pick Nudge with their name. They get a bell, plus a Telegram message when they’ve connected Telegram.

A task can be nudged once every 4 hours. Try sooner and the toast says you already nudged them in the last few hours. On a wider screen the row shows how long ago you did it.

On a desktop the thread sits at the foot of the task, headed Activity. It mixes comments with a line for each change: who assigned it, moved the date or completed it.

  1. Press Comment at the bottom of the task.
  2. Type the comment.
  3. Press Comment again to post it.

Enter starts a new line and never posts, so a pasted block of meeting notes stays as one comment. The paperclip adds images or PDFs up to 15MB, and they’re uploaded only when you post. The microphone dictates, in browsers that support it.

On a phone the thread shows the newest comment under Comments, with Show All and the count below it. The Comment bar pinned to the bottom opens the whole thread on its own screen, 10 comments at a time, with Load Earlier Comments above them.

Your own comments carry a pencil and a bin in the thread under the task. On the phone’s thread screen, the ⋯ beside a comment holds Copy Link to Comment, Add Reaction, Edit and Delete. A teammate’s comment only offers the first two.

Add Reaction puts 6 quick emoji under the comment. Tap one again to take yours back.

A new comment pings the person who made the task, the person it’s assigned to, anyone following it, and anyone who has commented before. Somebody who can no longer open the task isn’t told.

When one of the two of you completes an assigned task, the other one hears about it, and so does every follower.

Press Follow on any task you can open to be pinged about its comments and its completion. It turns into Following, and pressing it again stops. On a phone it’s Follow and Stop following in the task’s ⋯ menu.

Where do tasks I’ve handed out go on my list?

Out of your own date views and into Assigned to others, so your list is what you have to do. Search is:delegated to see only those, or is:assigned for tasks handed to you.

Can I assign a task to someone outside my district?

No. The picker lists the teammates in your district and nobody else.

My teammate says the popup never appeared. Did it send?

Yes, if it saved. The popup only looks back 14 days and shows once, so check their list for the from chip.

Can I undo a single assignment made in the editor?

Yes. Pick Just me (unassigned) and save again. The Activity thread records both changes.
