Set up flexi and power credits
Your district can run 2 credit pots. Flexi credits earn themselves from activity points. Power credits are money, and they move only when a request is approved or a balance is changed by hand. 1 power credit is $12, and an hour of help is credited at the same $12.
Each pot is its own district module with its own admin tab, Flexi Credits or
Power Credits. The tab only appears once the module is on, and the
ActivityTracker team switches modules on. A district admin can’t do it from here.
Moving credits, deciding requests and saving the rules work for the app owner and for accounts whose profile role is admin or staff, in the member’s district. Other people who can open the admin dashboard see the tab, but those actions don’t go through for them.
Set how flexi credits earn
Section titled “Set how flexi credits earn”Earning Rules sits at the top of Flexi Credits. Power credits have no rules,
because they never earn on their own.
These are the starting values:
Activity points per 1 credit: 10, so 10 points earn 1 flexi credit.Weekly goal bonus: on. Open the info mark beside it: a member who reaches their weekly goal gets 10% of that goal as credits.Weekly reflection bonus: 2 credits for the first reflection each week. Set it to 0 and the line readsDisabled.
To change them:
- Open
Flexi Creditsin the admin dashboard. - Change the rows under
Earning Rules. - Press
Save Rules.
Save Rules stays greyed out until something differs from what’s saved. Points
per credit must be above 0, and the reflection bonus 0 or more.
Auto-earn from activity points is the master switch. Open the info mark beside
it: off, activity points stop earning, but the weekly reflection bonus still pays.
Note that switching auto-earn off greys out every row under it, the reflection bonus included. That bonus keeps paying at whatever figure it was saved with.
Open the info mark beside Earning Rules: top-ups and deductions by hand work
whatever these rules say.
Decide a request
Section titled “Decide a request”Members ask for credits from the credits tab on their club page. What they send lands in
Flexi Credits requests or Power Credits requests, with a badge counting what’s
waiting. The oldest ask sits at the top.
Each row shows who asked, the amount, their reason, any longer details and any files they attached.
To decide one:
- Read the row and open any attached files.
- Type a note back to them in the box under the row, if you have one.
- Press
ApproveorDecline.
Open the info mark beside the queue’s title: approving moves the credits itself. The message after an approval gives the member’s new balance.
The last 8 decisions stay under Recently settled, marked approved, declined
or cancelled by member. An empty queue reads Nothing waiting on you.
Add or deduct credits by hand
Section titled “Add or deduct credits by hand”Flexi Credits Balances and Power Credits Balances list every member of the
district, people hidden from the leaderboard included.
To change a balance:
- Find the member with
Search by name.... - Press the plus to add or the minus to deduct.
- Type the amount.
- Write a
Reasonof at least 5 characters. - Check
New balance:and pressAdd CreditsorDeduct Credits.
Open the info mark beside Reason: the member reads it in their transaction history.
Flexi amounts are in credits, down to 0.1. Power amounts are typed in dollars, and the ledger holds tenths of a credit, so the smallest step is $1.20. The dialog names the nearest step when your figure doesn’t land exactly.
Read someone’s history
Section titled “Read someone’s history”View History on a member’s row opens their ledger for that pot, 20 rows a page.
The type filter narrows it to one kind of movement, such as Activity Earning,
Reflection Bonus or Admin Top-up.
The tiles above the table count Credits in Circulation, Members with Credits
and Total Members.
The request card tells members who decides. Is it right?
No. The rule the app enforces is the one above: the app owner, or an admin or staff profile in the member’s district.
Can I approve from the club page instead?
Yes. The credits tab on the club page carries the same queue for anyone who can move credits, and lets them adjust a balance from the board.
Will I hear about a new request?
Yes. Every admin and staff account in the district gets it in the notification
bell, with Approve and Decline on it. A power ask over $500, or a flexi ask
over 50 credits, takes a second tap to confirm there.
