Manage your subscription and invoices

Billing at /tracker/billing has 3 tabs: Subscription, Invoices and Payment Methods. Prices are per FC per month, in Singapore dollars.

The page opens for anyone who can open the admin dashboard, and for anyone who pays for an active subscription or leads a district. Everybody else is sent back to the Log page.

What Subscription shows depends on who you are. A district admin sees every agency in the district. A payer who isn’t an admin sees their own agency.

The agency view leads with Active Subscription. It says whether you’re billed monthly or annually, gives the next billing date, and carries a status pill: Active, Past Due or Trial.

Three tiles sit under it. Total FCs counts the agency’s members and Active Modules counts what you pay for. Monthly Recurring is each module’s rate times your FC count, added up.

Selected Modules breaks the bill down by module, with Rate / FC and Monthly Total for each.

To add one:

  1. Open Billing.
  2. Press Add Module beside Selected Modules.
  3. Tick the modules you want.
  4. Check what it adds to your monthly recurring.
  5. Press the button at the foot of the sheet. It counts what you ticked, as in Add 2 Modules.

The first charge is a prorated slice for the days left in the current period, and it lands on your next bill. The message after adding estimates that amount and names the date.

Note that removing FCs mid-cycle gives no refund. The lower price starts with the next billing cycle. Important Notes at the foot of the tab says both.

A module on your subscription opens its pages to your agency. That’s separate from the district module switch, which only the ActivityTracker team turns on, and it is one reason a page can be missing.

Manage Payment opens Stripe’s billing portal in a new tab. That’s where the card, the billing details and any cancellation are handled. There’s no cancel button in the app itself.

A cancellation you’ve scheduled shows as Cancels on and the date. Modules stay on until then, and reopening the portal lets you undo it.

Only the person who pays, a district admin in the same district, or the app owner can open the portal. Another Manager in the agency can’t.

An agency with no subscription reads No active subscription. and offers Subscribe Now.

To subscribe:

  1. Press Subscribe Now.
  2. Pick Monthly or Annual (10% off).
  3. Tick the modules. Any marked Required are ticked for you.
  4. Add a Referral code (optional) if you have one.
  5. Press Subscribe Now and pay on Stripe’s page.

You come back to Billing with Subscription activated, or Checkout cancelled if you left Stripe without paying, in which case nothing was charged.

The checkout goes through for a Manager of that agency, a district admin in its district, or the app owner.

A district admin’s Subscription tab opens with 4 tiles: Total Revenue, Paying, Past Due and Unsubscribed. Open the info mark beside the FC count under them: seat counts sync from user management on their own.

Each agency gets a card with its status, its manager and a Modules checklist. An unpaid agency offers Pay for this agency, and a paying one offers Add Modules and Manage Payment. Subscribe District-Wide reads Coming soon.

Invoices lists up to 50 invoices, newest first, each with its period, amount and status. Press one to see the line items, the FC count it billed, and Download PDF.

With more than 1 subscription in view, filters appear for Subscription and Status: All, Paid, Open or Failed.

Payment Methods shows one card per paid subscription, with the default card’s last 4 digits and expiry. When Stripe holds the card and the app doesn’t, it reads Card details are held securely by Stripe. Manage opens the same portal.

Why can’t I open Billing?

You’re not an admin and you don’t pay for a subscription. Ask whoever pays for your agency, or your district admin. See who pays for seats for which it is.

Can I download an old invoice again?

Yes. Every invoice on the Invoices tab has Download PDF, as often as you need.

Does adding a member change the bill?

Yes. The plan is priced per FC, and Important Notes says what happens mid-cycle: an added FC puts a prorated charge on your next invoice.
