Remind advisors about leads nobody has answered
A lead who writes back gets one alert to the advisor. If that alert is missed, the reply waits in the inbox until somebody happens to look.
When nobody answers a lead closes that gap. It messages the advisor again on
WhatsApp, and again after that, then stops.
Only district admins see it. It sits on the
District switches tab of Inbox,
under the 4 district switches.
Turn it on
Section titled “Turn it on”It’s off for every district until you turn it on, because it sends real WhatsApp messages to real advisors.
To switch it on:
- Open
Inbox, thenDistrict switches. - Find
When nobody answers a leadunder the 4 switches. - Press its switch, so the label beside it reads
On.
There’s no confirmation dialog. The message that follows reads
Advisors will be reminded about waiting leads.
Set the 2 waits
Section titled “Set the 2 waits”Once it’s on, 2 boxes open under the switch.
Remind after is how long a lead’s message may sit before the first reminder
goes. Once more after is the gap between that first reminder and the second.
Its clock starts when the first reminder is sent.
They start at 15 and 60 minutes. Both take whole minutes, from 1 to 1,440.
A Save button appears beside the boxes once you’ve changed a number, and
nothing changes until you press it.
What the advisor gets
Section titled “What the advisor gets”The reminder goes to the number the advisor’s sheet sends its alerts to. It names the lead, says how long they’ve waited, and quotes what they said.
The second one says the lead is still waiting and adds
This is the last reminder for this message. After that the app says nothing
more about that message.
A wait of 2 hours or more is given in hours rather than minutes.
When it stays quiet
Section titled “When it stays quiet”A reminder only goes for a conversation where the lead has the last word. The moment the advisor replies, the wait is over, with nothing to reset.
It also stays quiet for:
- a closed conversation
- a group chat
- a sheet whose
Watching this sheetswitch is off
The clock runs from the lead’s latest message. Each new message from the lead starts the count again, with its own 2 reminders.
Can an advisor turn this on for their own sheet?
No. The panel is on District switches, which only a district admin sees, and it
covers every sheet in the district.
Can I send a third reminder?
No. It stops at 2 per waiting message, whatever the numbers say.
An advisor says the reminder never arrived.
Check the sheet’s Activity tab for a chased line first. If one is there, look
at Alerts go to in the sheet’s Setup, on the Workflows tab. An alert sent from the advisor’s
own number to itself is filed as a note to self, and the phone doesn’t ring.
Does switching it off stop a second reminder that’s already due?
Yes. With the switch off, nothing is sent, and the message that follows reads
Reminders are off.
