Set up your coaching booking page

Coaching Settings is where a booking page is built. One page holds your details, your open hours, the consultants who can see it, and everything booked into it. Bookings made with it land on your timetable once Pick a Time is connected.

It’s manager-only, and your district needs the coaching module switched on. An advisor never reaches these tabs; what they get is the page in their own sidebar once you’ve given them access.

  1. Open Coaching Settings.
  2. Press New Page.
  3. Type a Page Title *.
  4. Type a URL Slug *.
  5. Press Create Page.

The slug is lowercase letters, numbers and hyphens only, and the form strips anything else as you type. A new page starts public, in Singapore time.

The page you pick on the left opens with four tabs: Settings, Access, Schedule and Bookings. Each one is its own address, so a tab can be bookmarked.

On Settings you have Page Title, URL Slug, Description, Time Zone, Coach Email, Calendar Email, Meeting Link and the Public Booking Page switch. Press Save Changes when you’re done.

Open the info mark beside Calendar Email for what that address gets, and the one beside Meeting Link for where the link ends up. Neither is required.

While Public Booking Page is on, the Public Booking Link panel at the top of the tab shows the address, and Copy Link puts it on your clipboard. Preview opens it in a new tab, which is what you should do before you send it anywhere. The address is your site plus /coaching/ and the slug.

Schedule holds Availability Management. Nothing on the public page is bookable until there’s a pattern here.

To add one:

  1. Open Schedule and press Add Availability.
  2. Choose One-time availability or Recurring schedule.
  3. Set Start Time and End Time.
  4. Pick a Slot Duration (minutes).
  5. For a recurring pattern, set Recurrence and pick the days.
  6. Press Save.

Start Time opens at 09:00 and End Time at 17:00. Slot Duration (minutes) is 30, 45, 60, 90 or 120, and starts at 30. Recurrence is Weekly, Monthly or Custom; a weekly pattern gives you the seven day buttons, and the other two open the monthly pattern options.

Each pattern on the list carries its own switch. Switch one off and it stops offering slots without being deleted. The pencil edits it and the bin removes it, after a confirmation.

Access is Consultant Booking Access: tick a consultant and the page appears in their sidebar. The line above the list counts how many are on this page.

One consultant can be assigned to one coaching page, so somebody already on another page is greyed out with Already assigned to: and that page’s name. Take them off the other page first.

Open the info mark beside the heading for the rule in one sentence.

Bookings opens on Booking Management with five counters: Today's Sessions, Tomorrow, This Week, Pending and Upcoming. Anything pending raises a banner counting it, and Review Now takes you to those rows.

Under the counters, the search box matches a client’s name, their email or their notes, and Filters narrows by status (Confirmed, Pending, Cancelled) and by date (Today, Tomorrow, This Week, This Month, Upcoming, Past).

Overview, Table View and Calendar View are three ways to read the same bookings. Table View is where you confirm or cancel them.

Can somebody book me without signing in?

Yes, while Public Booking Page is on. Open the info mark beside the switch for that in one line, and press Preview to see exactly what they’d see.

Why is my page not bookable?

Check Schedule. A page with no availability pattern, or with every pattern switched off, has no slots to offer.

Can I have more than one page?

Yes. New Page is always in the header, and the list on the left holds every page you’ve made.

Somebody shares a page with me and the tabs are dead.

That’s view-only access. Settings, Access and Schedule are disabled and you land on Bookings instead.
