Who pays for seats: self-funded or agency-funded
Every agency on ActivityTracker pays for seats one of 2 ways. The choice decides who gets the bill, and it changes what happens when somebody joins.
An Agency-funded agency covers every seat on one bill. A Self-funded agency
has each consultant pay for their own seat.
Where the choice is made
Section titled “Where the choice is made”The person who buys the agency picks it at checkout, under Who pays for seats?.
I fund my team puts everyone’s seats on one bill. Each pays their own bills
the buyer for their own seat only, and each teammate pays for theirs when they
join.
A purchase for 1 seat starts on Each pays their own, and a purchase for more
starts on I fund my team. Either can be picked. A self-funded buyer who chose
more than 1 seat is told they only pay for their own now.

Find out which kind yours is
Section titled “Find out which kind yours is”A manager sees it on the Agency billing card at the top of Join Requests,
where the badge reads Agency-funded or Self-funded. For the rest of that card,
see Approve join requests and invite your team.
An advisor sees it on the agency’s invite link. The line under the button says either that your manager confirms your seat, or that you’ll pay for your own. See Join your agency with an invite link.
Join an agency-funded agency
Section titled “Join an agency-funded agency”The invite page’s button reads Join and the agency’s name.
Pressing it sends a request to the agency’s managers. You get access once a manager approves it, and that approval is what adds a paid seat to the agency’s bill. You don’t pay anything yourself.
Join a self-funded agency
Section titled “Join a self-funded agency”The invite page’s button reads Get your seat, and it goes straight to checkout
for your own seat. There’s no request and no manager to wait for.
To take a seat:
- Open the invite link your manager sent.
- Sign in, or create your account.
- Press
Get your seat. - Pay at checkout.
Your first month is included, and the checkout lists a one-time setup charge that covers it. You’re added to the agency once the payment clears.
Move to another agency
Section titled “Move to another agency”You can be in 1 agency at a time. If you’re already in one, pressing the button on
another agency’s invite shows You're already in and your current agency’s name.
Into an agency-funded agency, the button reads Request transfer. The new
manager approves it, and you’re moved across.
Into a self-funded agency, it reads Leave & pay for a seat. You pay for the new
seat, and you leave the old agency once the payment goes through. A transfer
isn’t charged the setup fee a second time.
Take over the bill
Section titled “Take over the bill”The owner of a self-funded agency can switch it to agency-funded. Take over billing
on the Agency billing card does it, and it needs the owner’s own seat to be
active.
There’s no setup fee for the seats taken over. Consultants keep their access as members of the agency.
Can an agency-funded agency switch to self-funded?
Not from the app. Take over billing only goes the other way.
Can a manager take over the bill?
No. Only the agency’s owner sees Take over billing, and only while the agency is
self-funded.
I joined a self-funded agency. Does my manager see that I paid?
Yes. The Agency billing card lists every member of a self-funded agency with the
state of their seat, such as Active or Past due.
My owner took over the bill. Do I still pay?
No. Your own subscription stopped the moment they took over, and the agency’s bill covers your seat from then on.
