Filter contacts and save a view

A view is a saved way of reading your book. It holds the conditions, the shape you were in and the fields you had showing.

The tabs run above the toolbar: All contacts first, then your own views, then the 5 ready-made ones, then New view.

Filter in the toolbar opens the condition builder.

  1. Press Filter.
  2. Press Add condition.
  3. Pick a category, then the field, the operator and the value.
  4. Set Matching to all or any of the conditions.

The categories are Stage, Status, Tags, Last touch, Created, Follow-up and Contact field. The last one holds everything you added yourself.

Status takes Lead, Client or Archived. Last touch and Created take a number of days.

Some operators need no value at all, such as is empty and is overdue. The value box disappears for those.

A badge beside Filter counts the conditions actually narrowing the list. Clear in the popover takes them all off.

Note that Search contacts is a separate thing. It narrows the board and the grid on top of whatever the filter is doing.

Save as new view at the foot of the popover turns what’s on screen into a tab. Type the name into the row itself and press Enter.

The new tab is selected straight away, carrying your conditions, your surface, your sort, your grouping and your hidden fields.

From then on it saves itself. Change anything while that tab is selected and the view is rewritten half a second later, with nothing to press.

Note that a view belongs to 1 book. Switch books and the view is dropped, because its conditions name that book’s fields.

Every book has them and nobody made them: Follow-ups due, Created <7 days, Inactive >30 days, Never contacted and No next step.

Follow-ups due counts today and anything overdue, and leaves out archived contacts. No next step is a live lead with no follow-up date, which is how a lead goes quiet.

They answer who, never what shape, so picking one keeps you on Kanban or Grid as you were.

They’re read-only. Their only menu row is Duplicate, which makes a copy you can edit like any other view.

Each one has its own line for a result of zero, such as No follow-ups due., because zero is usually the answer you wanted.

A dashed Unsaved filter tab appears whenever the conditions on screen belong to no saved view.

You get it from All contacts with conditions added, and from a ready-made view once you’ve changed its conditions. Put them back and the tab lights up again.

Save it or clear it, and the dashed tab goes.

Fields in the toolbar lists every field in order. The eye at the start of a row hides it.

Hiding is per view. The field, its values and every other view are untouched, and a badge beside Fields counts what’s hidden here.

The up and down arrows move a field, and field order is grid column order, so this is also how you rearrange the grid.

Actions for on a row opens Edit field. New field sits at the foot of the panel, outside the scrolling list. See customise its stages and fields for what a new one can hold.

To read what a field is, open the info mark beside Fields shown in this view.

Press the Actions for button on the tab, or right-click it. The menu offers Rename, Duplicate and Delete.

Rename turns the tab into a text box. Press Enter to keep it, or Escape to drop the change.

Why does a condition say Deleted field?

The field it pointed at is gone. A red 1 broken button appears in the toolbar, and it opens the popover on the row you need to repair or remove.

Does a filter hide contacts from anybody else?

No. Your book is yours, and a view is your own way of reading it.

I came back from a contact and the board looked different. Why?

It shouldn’t. The app remembers the surface, the view and the search per book and puts them back. Check whether you’re on the same book.

Can I make a view out of a ready-made one?

Yes. Right-click its tab and press Duplicate. The copy is a real view you can rename, edit and delete.
