Add a contact and move it through stages
Contacts is your own book of people, under CRM in the left rail. Every person
sits in one stage, and the stage is the whole point: it says what you owe them
next.
The book opens on Kanban, a column per stage. Grid shows the same people as
rows, which is faster when you’re filling in phone numbers.
Add one person
Section titled “Add one person”A name is all you need to start. Everything else can wait for the record.
- Open
Contactsfrom the left rail. - Press
New contactat the top right. - Type the name and press Enter.
The card lands at the foot of the first stage. To put someone straight into a
later stage instead, press + Add at the bottom of that column.
In Grid, the last row of the table is its own New contact. The grid scrolls
to the person you add there and lights their row for a few seconds, so you can
see where they went. With no sort on, that’s right above the row you typed in.
Note that a book with no stages can’t hold a contact. The app says This book has no columns yet. and offers Add these columns instead of taking a name.
Fill in the record
Section titled “Fill in the record”Click a card and it opens as a page of its own. The name at the top is
editable, and your book starts with a Phone and an Email field, so a lead
from a business card is two taps and a number.
The tabs across the record are Overview, Chat, Tasks, Appointments,
Activity and Related. Chat carries the WhatsApp thread when the contact came
in through the Inbox. See
Answer a lead in Conversations.
More than one deal on a contact
Section titled “More than one deal on a contact”A client who buys a second policy is the same contact with two deals. Under Deal value on the record, press Add another deal, give it a name if you like, type the amount and press Add deal.
With two or more deals the box becomes a list. Each deal has a name, an amount, a state (Open, Won or Lost) and Remove, which asks before it removes. Under the list you see the total and how much is still open.
- The card, the column totals and the
Deal valuecolumn show every deal that isn’t lost. In pipelineon the goal strip counts only open deals, so a won first policy stays out and the second one is in.- In
Grid, the amount cell of a contact with two or more deals opens the record instead of an editor, because there’s no one amount to type. - Logging a closed case marks the contact’s open deals
Wonthat day.
Move it along
Section titled “Move it along”Three ways, and they make the same write:
- Drag the card into another column on
Kanban. - Right-click the card, or hold it on a phone, and use
Move to stage. - Open the record and pick a rung on the
Pipeline stageladder.
A new book starts with 7 stages: New lead, Contacted, Appointment set,
Fact-find done, Proposal out, Closed and Lost. Rename them, reorder them,
or add your own. Each advisor sets their own, so nothing you do here reaches anyone
else’s board.
More than a handful
Section titled “More than a handful”Import CSV sits behind the chevron next to New contact. It’s the same
decision, so it lives in the same button rather than a menu somewhere else.
Search contacts in the toolbar narrows the board and the grid at once.
Can I keep two different books?
Yes. Advisors run a sales pipeline and a recruitment pipeline side by side, each with its own stages, fields and views.
Where did my new contact go?
To the end of the first stage, unless you added it from a column. If a search or
a filter hides the new person, the app says Added with their name and Your search or filter hides it., and Open takes you to the record.
Who else can see my contacts?
Your book is yours. A district admin can open an advisor’s book with the
Whose CRM picker at the top of the page, which reads Mine until they pick
somebody. Nobody else gets a picker at all.
Where did the contact I closed a case for go?
Nowhere, but the record now reads as a client. Picking someone under Client (linked on closed cases) and logging the case marks them. See
Log a closed case.
