Assign a task to the whole team

Assign team task in the Team CRM header hands one thing to as many advisors as you pick. Each of them gets their own copy on their own board, so one person finishing it doesn’t tick it off for anybody else. To hand one job to one person instead, assign the task itself.

The cadence you choose changes what you’re making. Once writes a task. Anything else writes a routine, and the form’s title changes to say so before you commit.

  1. Open Team CRM and press Assign team task.
  2. Type the title.
  3. Add details in the second box if they need them.
  4. Leave the cadence on Once.
  5. Pick a due date, or press Today, Tomorrow or Next week.
  6. Tick the advisors, or press Everyone (N).
  7. Press Assign to N advisors.

The title takes up to 200 characters and the details box up to 500. A due date lands at 9am Singapore time on the day you pick. Leave the details empty and each copy reads Assigned from Team CRM.

Each copy is filed under that advisor’s Coaching: <name> project, which is the same project the coaching file writes into. Open the info mark beside the dialog title for the one-line version.

The toast that follows carries Undo, and pressing it takes every copy back. Once the toast goes, Undo goes with it.

You’re not in the list. The dialog only offers the advisors on your roster other than yourself.

Press Daily, Weekly, Biweekly or Monthly and the dialog becomes Set a routine for the team. The due-date row disappears, because a routine has a rhythm rather than a deadline.

Each advisor gets their own routine and their own streak. Open the info mark beside the dialog title before you send one, because the ownership rules are the part that differs from a task.

Team assignments in the right rail of Team CRM is one line per thing you handed out: the title, a N/M done count and a bar. Press a line for the names behind the number, ticked or not. It shows the 8 most recent.

Open the advisor and go to Tasks. The heading is their coaching project’s name and the line under it counts what’s open and what’s done.

Type into the box and press Assign to hand them one more thing. Show N done opens the finished rows. Open in task board goes to the full editor, where due dates, priorities and subtasks live.

A row marked not filed is assigned to that advisor but sits in no project, so the task board’s own view of the coaching project can’t see it. File all N here moves the lot in.

Their routines sit on the Goals tab, and the card shows their whole list, their own routines included. A routine you set carries a set by you chip.

Press a row to edit it. The menu beside it holds Open details for reading the whole thing, Pause or Resume, and Delete. Deleting asks first, and says their ticks and their streak go with it.

Open the info mark beside Routines for the reach of what you change there. On an advisor with no routines yet, the card offers 20 prospecting calls, Log activity before end of day, Write the weekly reflection and Review the pipeline as one-tap starters.

Can I un-assign a routine the way I undo a task?

No. A task can be taken back from the toast; a coach-set routine is the advisor’s from the moment it’s created. Deleting it is the only way back, and that takes their ticks with it.

Does the advisor know it came from me?

The task lands on their board and in your coaching project for them. Nothing in the dialog is silent about it, and the routine row is marked set by you on your side.

Why can’t I tick their routine off for them?

Ticking is theirs. You can read where a routine stands, edit it, pause it or delete it, and nothing more.

Why is somebody missing from the advisor list?

The list is your Team CRM roster, minus you. If they’re not on the roster, check your district in the switcher.
