Approve credit requests and adjust balances
Members ask for flexi or power credits, and somebody has to say yes or no. You can do it on the credits tab of the performance dashboard, beside the board the request is about.
Approving, declining and adjusting need the app owner, or an account whose profile
role is admin or staff, in the member’s district. An agency manager sees the board
and the balances, with no Approve control and no Adjust button.
The tab reads Credits when your district runs both pots, and Flexi Credits or
Power Credits when it runs one.
Decide a request
Section titled “Decide a request”The queue sits at the top of the tab, above your own balance and the board. It’s
called Flexi Credits requests or Power Credits requests, with a badge such as
3 waiting, and the oldest ask comes first.
Each row names the member, what they want and their reason, with how long ago they asked. Longer details and attached files sit underneath, and a file opens where it is.
To decide one:
- Open the credits tab and pick the pot, if your district has both.
- Read the row and open any files.
- Type a note in the box under the row, if you want to send one back.
- Press
ApproveorDecline.
Request approved appears with the member’s new balance. Open the info mark
beside the queue’s title: approving moves the credits itself. The balance and the
ledger row change in the same step, so an approved request always has its credits.
The member gets a notification of the decision, with your note on it if you wrote one.
Approving a deduction bigger than the member’s balance is refused, and the message says what they hold now. A request can never take anyone below zero.
The last 8 decisions stay under Recently settled, marked approved, declined
or cancelled by member. A paperclip and a number mark one that came with files.
Decide from the notification bell
Section titled “Decide from the notification bell”Every admin and staff account in the district gets a new request in the bell, with
Approve and Decline on it. Nobody is notified of their own request.
A flexi ask over 50 credits, or a power ask over $500, turns the first press of
Approve into a Confirm button that names the amount. A big request takes 2
taps.
Adjust a balance by hand
Section titled “Adjust a balance by hand”When you can move credits, every row on the board carries an Adjust button. On a
phone it’s the sliders icon on its own.
To change a balance:
- Press
Adjuston the member’s row. - Choose
AddorDeduct. - Type the amount.
- Write a
Reasonof at least 5 characters. - Check
New balance:, then pressAdd CreditsorDeduct Credits.
The dialog opens empty on Add every time, so one person’s figure never carries
over to the next. Open the info mark beside Reason: the member reads it in their
transaction history.
Flexi amounts are in credits, down to 0.1. Power amounts are typed in dollars and move in $1.20 steps. When your figure doesn’t land on a step, the dialog names the nearest one.
On the day a pot is switched on nobody holds anything, and the board would read
No flexi credits earned yet. Anyone who can move credits gets the unranked
roster instead, so there’s a row to press Adjust on.
Note that the board leaves out people hidden from the leaderboard. To reach them, use the pot’s tab in the admin dashboard, which lists every member. See Set up flexi and power credits.
I’m a manager. Why can’t I approve?
The rule reads the account’s profile role, and managing an agency doesn’t change that. Ask an admin in your district to decide the request.
Can a request push someone below zero?
No. An approval that would is refused. Only a deduction by hand can go past zero.
Two of us pressed Approve at once. Was it paid twice?
No. The first decision locks the request, and the second is told it was already approved.
