What a sales report should answer
A sales report is a short record of what the team sold, what it did to get there and what's next. This one answers five things, in the order you'd ask them.
| Section | What it tells you |
|---|---|
| The week in one line | Where to look first |
| Activity against target | Whether the work happened |
| Deals and pipeline changes | What closed, what moved and what slipped |
| Stuck deals | Which deals have sat for 14 days, and the rep's plan for each |
| What I need from you | The one thing only you can do |
Activity counts on their own don't tell you what to do. Deals on their own arrive too late to change. You want both on one page.
Which sales report you need
You'll see long lists of report types. Most teams need three, and they differ by how often they run.
| Report | Who it's for | What's on it |
|---|---|---|
| Daily | The rep | Calls, conversations and meetings booked. Our call log template has this count at the bottom. |
| Weekly | You | This page. A slipped deal shows up in days. |
| Monthly | You and your boss | Revenue against target, deals won and lost, each rep's month, and the next month's target. |
To make a monthly report from this page, add up the four weekly Activity blocks and swap Closed this week for the month's total.
How to run it each week
- Set one send time for every rep, and leave it there.
- Read every report before the team meeting.
- Reply to one line in each report, even if it's only the ask. A report that gets an answer keeps coming.
- Spend the meeting on the stuck deals, since you've already read the numbers.
A filled-in report: a better week and one stuck deal
The names and figures are made up, and the sums are at the bottom.
| Section | What Daniel wrote |
|---|---|
| The week in one line | Meetings came back to 7 after two slow weeks, because I blocked the first two hours of the day for calls. |
| Activity | Calls 52 of 60 (last week 47). Emails and messages 38 of 40 (41). Meetings 7 of 8 (5). Proposals 4 of 3 (2). New prospects 11 of 15 (9). |
| Deals | Closed 1, worth S$8,500. Month so far S$19,500 of S$30,000. Lost 1, worth S$6,000: they went with a cheaper quote. |
| Pipeline changes | 14 open at the start, worth S$96,000. 3 new, worth S$21,000. Open now 15, worth S$102,500. Moved forward: Harbour Dental, from demo to proposal. Slipped: Kestrel Logistics, from 30 September to 15 October. |
| Wins | Harbour Dental asked for the proposal on the first call. A referral from last month's close booked a meeting on its own. |
| Stuck | Northgate Print, S$12,000, proposal sent 2 September. Their finance lead hasn't replied. I'll ask the owner for a 15-minute call with her by 30 September. |
| Next week | Calls 60, meetings 8, proposals 3. Expect to close Harbour Dental (S$9,000) by 2 October. One thing different: two questions before I give any price. |
| What I need | You on the Northgate call if she says yes, and a yes or no on 5% off for Kestrel by 29 September. |
The pipeline adds up: 14 + 3 new - 1 closed - 1 lost = 15 deals, and S$96,000 + S$21,000 - S$8,500 - S$6,000 = S$102,500.
How reps should write up each kind of week
| The week | What to write |
|---|---|
| A slow week | The short number in the one line, the reason in one sentence, then what changes next week. |
| A big win | What they did that worked, so it can happen again, and who helped. |
| A lost deal | Where it turned, what they said no to, and what they'd do differently in the first meeting. |
| A week out of the field | Training, leave or a trade show goes in the one line. Report the numbers anyway. |
| A rep's first 90 days | One extra line: the call they'd redo, and why. One ask each week, even a small one. |
Getting the activity half without the counting
The report works, and most of the time it takes goes on finding the numbers. That's the tab somebody has to remember to fill.
Palby Sales Tracker gets you the Activity block. Reps log each call and meeting in one tap, and the board shows each person's count for this week, last week or any dates. You can export the board, the activity feed and a performance summary to CSV. Weekly check-ins carry your team's own questions, you get an email when one is filed, and check-ins are due Sunday at 23:59. Deals, S$ and pipeline lines stay on this page, because the app counts activity. See weekly check-ins.

Common questions
The week in one line, activity against target, deals closed and lost, what moved in the pipeline, wins, stuck deals, next week's targets and what the rep needs from you, all on one page.
Fill in the numbers first, then write the one line at the top last. Say which number matters most and why it moved. Then list the stuck deals, each with a step and a date.
About 15 minutes if the calls and meetings have been logged as they went. Most of the time goes on finding the numbers.
Pick a day and a time that lets you read every report before the team meeting. Keep it the same each week.
No. An activity report counts calls, emails and meetings. This one adds the deals, the pipeline, the stuck deals and next week's plan, so you know what to do with the numbers.
The short number first, the reason in one sentence, then what changes next week. A clear bad week gets help, and a vague one gets questions.
Give everyone the same template and reply to one line of each report. Reps stop sending a report nobody answers.
