Commission tracker template: a free sheet that shows what's owed, what's paid and what's left

Give each rep a copy. They add a row when a deal closes and mark it paid when the money lands, and any gap with the pay slip shows up before anyone argues.

The commission tracker, ready to fill in

Commission turns up weeks after the deal, as one number on a pay slip. This tracker is the rep's own list behind that number, so you can both see where it came from.

Download it for Excel or Word, or copy it. It's free, with no sign-up. The Excel file works out each deal's commission and every total.

Commission tracker: [rep's name]

  • Owed. The deal counts, and the commission isn't paid yet.
  • Paid. The commission is in your pay.
  • Clawed back. The customer cancelled or didn't pay, so it came off.

How to use it

  1. Put the goal and the usual rate at the top at the start of the month.
  2. Add a row when a deal closes, with the value the plan pays on.
  3. Leave Rate blank unless this deal pays a different rate.
  4. When the payout lands, mark each deal Paid and write the date.
  5. If a customer cancels inside the clawback period, mark it Clawed back.

How to check a payout against it

  • Compare Paid so far with the commission on the pay slip.
  • A deal still marked Owed after its pay date is the one to raise.
  • Check the value the plan pays on: the contract, the invoice or what the customer has paid.
  • Raise it in writing, with the deal and the date, inside the plan's deadline.

Those rules come from the written plan. If yours isn't written down, start with the commission plan template.

A filled-in month

Nurul Aziz is a rep with a goal of S$3,000 in commission for October and a usual rate of 10%. She, her customers and all the numbers are made up. They aren't a typical rate or typical pay.

  • Earned so far: S$800 + S$550 + S$320 + S$600 = S$2,270.
  • Paid so far: S$800 + S$550 = S$1,350.
  • Still owed: S$2,270 - S$1,350 = S$920.
  • Still to go: S$3,000 - S$2,270 = S$730.
  • Deals still needed: S$2,270 / 4 deals is an average of S$567.50, and S$730 / S$567.50 is 1.3, so 2 deals.

Parkside Cafe pays 8% because it was discounted. That's the row a rep would forget, and the one a payout check catches.

When a spreadsheet stops being enough

One sheet per rep works for a small team on one plan. Tiers, splits and several plans at once make it harder, because a formula that breaks in one copy won't tell anyone, and a few payouts can go out wrong before someone spots it.

That's the point to look at dedicated commission software. Palby Sales Tracker isn't that: it doesn't work out commission for a general sales team.

What Palby Sales Tracker counts

Palby Sales Tracker doesn't work out commission, and it doesn't hold pay or deal values. Keep those on this sheet.

It counts what reps do. Reps log a call, a meeting or a close with a tap on their phone, and the board shows each rep's counts. You can rename the nine starting tiles to your team's words and change their points. See how activity tracking works.
