CRM for recruiters

Know which candidate to call today, and which client has gone quiet.

Run candidates and client companies as two pipelines. Each person gets a follow-up date, and their CV, notes and consent sit on their record.

30 minutes. You choose the day and the time.

  • Stages from Applied to Hired
  • CVs on the card, 10 MB each
  • Consent per channel, with the date
A small recruitment agency's Next activity due list on a Tuesday

  2. Nadia RahmanCandidates: Offer, Today, Appointment, 5pm: talk through the offer
  3. Joanne, HR at a logistics firmClients: Negotiating, Today, Follow-up: two roles for next quarter

Between interviews

Candidates go quiet between the second interview and the offer.

Your best candidate had a second interview. You're filling three other roles, and the client takes a week to reply. By the time you call him with good news, he's taken an offer from an agency that called him every two days.

01A new role

See where each candidate stands, from Applied to Hired.

A client sends a new role, and forty people apply within days. Start a pipeline from the recruitment stages, Applied, Screened, Interview, Offer, Hired and Not hired, and rename them to fit your desk. Give each candidate a follow-up date, and on the day they're on your list with their CV and your notes.

  • Rename the stages any time
  • A stage can ask for the fields it needs
  • Stale after 14 days in one stage

02A quiet client

Keep the clients who send you roles in a pipeline of their own.

The HR manager who sent you two roles last year hasn't called since. Keep client companies in a pipeline of their own, with stages for winning the account. Inactive over 30 days lists the ones you haven't spoken to in a month, so she hears from you before another agency calls.

  • Several pipelines, each with its own stages
  • A company page from the Company field
  • Inactive over 30 days, ready on day one

03The next role

Know which candidates agreed to hear about new roles, and when.

A strong candidate wasn't right for this role, but she could be right for the next one. Each record keeps consent for WhatsApp, email and calls, with when and how it was given, like "Yes since 3 Nov, set by hand". Tick Do not contact, and anything Palby sends on its own skips that person. CVs sit on the card in private storage.

  • Consent per channel, with the date
  • Filter the board by consent
  • CVs up to 10 MB each, in private storage

A worked example

One week at a four-consultant agency

Palby CRM
  1. MondaySharon runs a four-person agency. Forty applicants from a job ad come in as a CSV, and two who applied before merge into their old cards.
  2. The same morningThe new candidates are shared out to the consultants in turn, and each one gets a push.
  3. WednesdayBryan's second interview is done, and Ken sets a follow-up for Thursday to get the client's feedback.
  4. ThursdayBryan is on Ken's list. The client wants a third round, so Ken books it on Bryan's card.
  5. FridaySharon opens the Clients pipeline, sees three HR managers quiet for a month, and calls one about next quarter's hiring.

Goes well with

Call this week's quiet candidates before they take another offer.

Start with the candidates who interviewed this month and the clients you haven't called since summer.
