Pick the moment, fill in their name and what you talked about, and copy the email with its subject line. Every line is a template you can read first.

Put the next follow-up date on the customerThe moment, the details, the email
It takes a minute, and the email changes as you type.
- 01Pick the moment: after a call, after a meeting, a quote sent, a quote with no reply, or one of four more.
- 02Put in their name, what it's about and the next step you agreed. Pick friendly or formal.
- 03Pick one of three subject lines, then copy the email or open it in your email app.
Four rules every email here follows
They're short on purpose, and each one asks for one thing.
It names what you talked about, so they don't have to remember which quote is yours.
It gives one next step with a day on it, like a call on Thursday, not "let me know".
It makes "no" easy to say, so a busy person can still reply in one line.
It's under 100 words, so it reads on a phone between other things.
When to send each one
The timing matters as much as the words.
After a call or a meeting: the same day, while they still remember what you said.
After a quote: the day you send it, so the quote has an email to sit under.
No reply to the quote: about a week later. Ask if it reached them, then offer to change it.
Gone quiet: once more after that, with an easy way out. Then stop, and note why on their record.
Know who's due a follow-up today
Palby CRM, which we make, keeps the date you'll follow up on each customer, so the second email gets sent.
- A follow-up date on every customer, and today's list of everyone due or overdue
- Notes and your WhatsApp chats on their record, beside the quote's amount
- Several deals per customer, each with its own stage and close date
- Customers who've had no contact for 30 days, in a ready-made view
