CRM in Singapore: what to check before you buy, from where the records sit to PDPA consent

Most CRMs are built somewhere else. Before your customers move in, check the things Singapore changes: where the records sit, how consent is kept, the Do Not Call rules, local numbers and S$.

Eight checks a demo tends to skip

A demo shows the pipeline and the reports. It rarely shows what happens when a Singapore customer writes "stop", or when your list has numbers typed five ways. Ask about these before you move anyone in.

Where the records sitThe PDPA asks you to protect personal data "in its possession or under its control", including what a vendor stores for youWhich country is the database in?A database in Singapore
Consent, channel by channelA marketing yes to a Singapore number has to be in writing or another form you can look up laterCan each customer's WhatsApp, email and call consent sit on their record, with the date and how?Yes, with the date and a note of how
The Do Not Call RegistryMarketing to a Singapore number needs a Registry check first, unless they said yes in writing. Results last 21 daysDoes it check numbers against the Registry, or do I?Not yet. You check on PDPC's service
A stop that sticksOnce a customer withdraws, you stop, and marketing to their number has to stop within 21 daysWhen a customer writes stop, what changes on their record?Once your WhatsApp number is linked, their record says No for WhatsApp, dated. Do not contact turns every channel off
Singapore numbersNumbers are eight digits, and a WhatsApp link needs the 65 in frontDoes 9123 4567 become +65 9123 4567 without me typing it?Yes. Numbers typed with and without 65 match as one person on import
Money in S$Quotes, deposits and what each customer has paidAre amounts in S$, and can I see what each customer has paid?S$ throughout. Add an Amount paid field and the pipeline totals it by month, quarter or year
Who sees whatA new hire shouldn't be able to download every customer on day oneCan I share one pipeline without sharing the export?Yes. Each pipeline is shared to view, use, manage or export
Getting in and outYour list lives in a spreadsheet todayCan I import my spreadsheet, undo it if it goes wrong, and export everything back?Up to 2,000 rows from a CSV, one tap to undo the import within a day, and a CSV export

Six moments that show whether it fits

Ask to see each one on a sample pipeline during a walkthrough, ours included.

  1. A parent writes "stop". If the stop sits in one person's chat, a colleague will message her next month. Look for the record itself to change, with the date.
  2. Chinese New Year week. Quotes go quiet, and nobody picks them up after. Look for follow-up dates you can set for the first working day back, and a list of who's due that day. Our 2027 public holidays page has the dates.
  3. Last year's open house sheet. The numbers are typed as 91234567, +65 9123 4567 and 6591234567. Look for one customer, not three.
  4. A salesperson leaves. If the customers lived in their phone, they leave too. Look for records that belong to the business, and access you can take back in one step.
  5. A new launch, and 300 past customers. Look for a filter that shows only the ones who said yes in writing, so the rest go through a Registry check first.
  6. A customer asks what you hold on them. Look for one record with their details, notes and consent history, and a way to export it.
