CRM task management and follow-up reminders
Stop losing jobs to call-backs you meant to make.
Give each customer a follow-up date as you finish the call. On the day, they're on your list, and with alerts on, a reminder reaches your phone.
30 minutes. You choose the day and the time.
- Kumar2d overdue, Task: send the servicing quote
- Mrs TanToday, Appointment, 2pm: unit check in Punggol
- Desmond HoToday, Follow-upReminded from 9am
- Aisha KarimToday, Task: confirm the chemical wash
Call-backs
Your team has no system for call-backs
"Call me back after CNY" goes on a sticky note, in a chat you star or nowhere at all. After CNY, nobody remembers who said it. A system is one date on the customer and one list that brings them back on the day.
01As you hang up
Set the next step while the call is still fresh.
Kumar wants the quote next week. Before you put the phone down, give his card a follow-up date. Tomorrow, a week, a month, three months and a year are one tap each, and Same as last reuses your last date.
- Five quick dates, or pick any day
- Same as last, for the date you just used
- Days run on Singapore time
- Kumar Pillai, on the callCall me on Thursday to fix the hacking date
02Today's list
Open today's list, not your chats.
Next activity due is the first view on every pipeline. It lists everyone due today or overdue, and they stay there until you change the date. Overdue ones say how late they are, like "2d overdue". On a quiet day it says "Nothing due today."
- Today's and the overdue, on one list
- Stays until you set a new date
- The card's Next line says what's coming first
03Reminders
A reminder that reaches you on the day.
Turn on phone alerts from the inbox, once your WhatsApp number is linked, and you get one reminder per customer on the day they're due, sent between 9am and 9pm. Busy days come as one line, like "7 follow-ups due today". The record's own tip: "Only you are reminded, never the client."
- One reminder per customer, on the day
- Between 9am and 9pm, Singapore time
- None for a date you set for today yourself
- InboxPhone alerts on. Your WhatsApp number is linkedTurned on once
04Tasks
To-dos that live on the customer's record.
Add a task on the customer's record, like "send the revised quote", and give it a due date. It's filed on that record, and a dated task counts toward the card's Next line, so the list knows what's coming.
- Type the task, then pick a due date
- Filed on the customer's record
- Done tasks count as activity on the card
- New taskSend the revised bathroom quote
05The gaps
Catch the customers with no next step.
Customers still in play with no follow-up date land in No next step. Open it once a week and give each one a date, or archive the ones who've gone elsewhere.
- No next step, ready on every pipeline
- Never contacted, for the ones nobody has called
- Stale cards, for the ones stuck in a stage
- No next stepStill in play, no follow-up date3
And the rest
Smaller things that keep the list honest
Goes well with
Stop losing jobs to forgotten follow-ups.
Give the next three customers you speak to a follow-up date, and open the list tomorrow.
30 minutes. You choose the day and the time.
Before you set the first date
Already keep a to-do app?
A to-do app doesn't know Kumar's quote, his chat or his last job. Here the date sits on his record, so when it comes round you have everything you need to make the call.
No. Reminders only go to you. Messages that go out to customers on their own are a separate Palby product: see how Palby follows up on WhatsApp.
No. They come as phone alerts, which you turn on from the inbox once your WhatsApp number is linked. Next activity due works either way.
Tasks on a record don't repeat. Set the next follow-up date when you finish, with a month as a one-tap choice.
It runs in your phone's browser, laid out for a phone. Add it to your home screen and turn on alerts. There's no App Store or Google Play app yet.
There's no public price for Palby CRM yet, so you'll get a price for your team on the walkthrough.
