Sales automation for cards and tasks
New enquiries get missed. Old quotes get forgotten.
When a card moves, goes quiet or reaches a date, the next step happens: a task, a stage, a note to your team.
30 minutes. You choose the day and the time.
- Starts whenA card lands in Quote sentCard Lands on Your Board
- Create a Task"Chase the quote", due in 3 days, on your list and on the cardThe chase, already on your list
- Add or Remove TagsAdds "quote-out"
- Tell the Team"Daniel Tan's kitchen quote is out" to your team's alert numberThe customer isn't messaged
A busy week
Your team is always busy, but the quotes still go unchased
Everyone means to chase the quote. Then a site visit runs long, and the chase becomes next week. The fix isn't working harder. It's having the board put the chase on someone's list the moment the quote goes out.
01Stage moves
After a quote goes out, the chase is already on your list.
Pick a stage and what happens when a card lands in it. Move Daniel to Quote sent and a task to chase it appears on your list, due in three days, linked to his card.
- Starts when a card is added to a stage, or moved into it
- Create a task with a due date and a note
- Move the card, set a detail or add a tag
- Starts whenA card is added to Quote sent, or moved into it
- Create a TaskChase the quote, due in 3 days, with a note
- Add or Remove TagsAdds "quote-out"
02Gone quiet
Catch the card that has gone quiet.
Every stage can flag a card that sits with no activity, after 14 days unless you change it. An automation can start on that flag, so a quiet quote gets a task and a note to your team, not another week of silence.
- Your own quiet limit per stage, 1 to 365 days
- Won and lost stages are never flagged
- Notes, done tasks, chats and stage moves count as activity
- Quote sentFlag a card after 14 days with no activityYour limit, 1 to 365 days
- Siti RahmanQuote sent, S$12,800. No note, done task, chat or stage move14d
03Dates
Before a date on the card, the reminder's already set.
Any date on the card can start one: a warranty end, a move-in day, a birthday. Choose how many days before or after, and whether it happens every year or just once.
- Up to 90 days before or after the date
- Yearly, like a birthday, or one time, like a handover
- Never before the date first comes round
- Starts30 days before Warranty end, a date on the cardUp to 90 days before or after
04Won and lost
Close the deal, and the next steps land on your list.
Mark a deal won and the follow-on work starts: a task to book the job, a tag for the customer, a row in your Google Sheet. A lost deal can start its own steps too.
- Starts when a deal is marked won or lost
- Or when a task is done or goes overdue
- Or when someone adds a note to the card
- Starts whenA deal is marked wonA lost deal can start its own steps
05Guard rails
Follow up on time, without marking anyone lost for going quiet.
An automation started by silence, a date or an overdue task can't move a card to Lost. The app's own words: "Silence is not a no. Move it to Lost by hand." Waiting customers stay in your pipeline until a person decides.
- Moving a card to Lost stays a person's job
- Wait steps hold for minutes, hours or days
- If / Else sends each customer down the right path
- Starts whenSiti Rahman's card goes quiet in Quote sent
And the rest
Start with one rule, then add the next
Goes well with
Stop checking the board for what to do next.
Start with one automation: a task to chase every quote.

Before you switch one on
Worried an automation does the wrong thing?
Start with steps that only touch your own list: a task, a tag, a note to your team. Nothing on this page messages a customer, and nothing started by silence can mark someone lost.
Not from this page. Automations that send WhatsApp messages are part of Palby's WhatsApp side: see how Palby follows up on WhatsApp.
Yes. Automations watch the pipeline of the business your WhatsApp number is linked to, so you link your number first, from WhatsApp on your phone.
No. Pick what starts it, then add steps from a list, like Create a Task or Move Their Pipeline Card.
The person who owns the business, on their task list and on the customer's card.
There's no public price for Palby CRM yet, so you'll get a price for your team on the walkthrough.
