Reminder for you
Before and after
The quote nobody chases is the job you lose.
Before
- Scrolling your chats for who you meant to call
- A spreadsheet only you keep up
- A quote you meant to chase
- Birthdays you remember a day late
- Adding up what came in at month end
- Customers who leave with a salesperson's phone
Now
- Next activity due: everyone whose follow-up is today or overdue
- One record per customer, with the notes and deals on it
- A follow-up date on the card, with the task beside it
- A Birthdays view, sorted by month
- Amount paid, added up as it comes in
- A pipeline your team shares and you own
Someone asks for a quote. You mean to chase it. A week later they're three screens down your chats, and they've gone with someone else. Give each customer a follow-up date, and on the day they're on your list with the quote beside their name.
01Bring them in
Keep the spreadsheet's customers. Lose the spreadsheet.
Upload the spreadsheet you already keep, a CSV of up to 2,000 rows. Columns are matched by name first. Any it can't place, like "HP No", go to AI, which sees the header and three sample values, never whole rows. Phone contacts come in as a .vcf file. A row that matches someone you already have, by email, phone or name, is merged into their record instead of copied. Imported the wrong file? Undo it within a day. A business card works too. Take a photo, check what it read, and save the contact.
Where are you starting from?
| You keep them in | What to do |
|---|---|
| A spreadsheet | Save it as a CSV and import it. Palby CRM or a spreadsheet? |
| Your phone's contacts | Export a .vcf file and import it |
| Another CRM | Export your contacts from it as a CSV, then import that file. |

02Follow up
Find who to call first.
Give every customer a follow-up date. Tomorrow and next week are one tap. On the day, they're on Next activity due, the first view on every pipeline, and they stay there until you change the date. Overdue ones show how late they are: "2d overdue". The record's Next line shows what comes first, the follow-up, a meeting or a dated task, so you know why you're calling. Turn on alerts and a reminder reaches your phone on the day. Only you are reminded, never the customer. Nine more views come ready on every pipeline, like Never contacted, No next step, Inactive over 30 days and Birthdays. Filter by any field and save your own.
03Track
See where every customer stands.
Each pipeline has its own stages, on a board or a grid. Start from one of eight sets by trade, from property and tuition to home services and recruitment, then rename them. A customer can have several deals, each with an amount and a close date. The pipeline adds them into a forecast, weighted by each stage's chance of winning. A card that sits too long in one stage gets flagged, after 14 days by default. A stage can also ask for the fields you need before a card moves in.
04What they've paid
Know what each customer has paid, before month end.
Add an Amount paid field and a Date paid field. The pipeline then shows, in S$, what came in this month, quarter or year, how many jobs and the average per job, against a yearly goal you set. A finished job with no amount on it is flagged, so the total isn't quietly short. Every Monday, a dashboard you build from a template can go by email to you and anyone on your team who can see the pipeline.
05Your team
No more customers stuck in one person's phone.
Share a pipeline with your team to read, edit or manage. Who can download it is a separate choice. New customers can go to each person in turn, and anyone marked Away is passed over. Each person picks English or Chinese. When someone leaves, take away their access. Their customers and history stay in your pipeline.
PDPA and consent
Know who said yes to messages, and when.
Each record keeps consent for WhatsApp, email and calls, with when and how it was given: "Yes since 12 Oct, Facebook form", or "No since 14 Oct, they wrote stop".
Tick Do not contact, and anything Palby sends on its own skips that person. What you type yourself still sends. Your records sit in a database in Singapore.
Who it's for
Think about your customers. Not your CRM.
Before you move your customers in
Worried nobody will keep it updated?
Most of the updating is one date. Set the next follow-up as you finish a call, and they turn up on that day's list. Live customers with no date land in No next step, and cards that sit quiet for 14 days in one stage get flagged.
Yes, once your WhatsApp number is linked to Palby. Each chat sits on that customer's record, beside the notes and the deals.
Not Palby CRM. It keeps the chats on the record and tells you who to follow up. Answering new enquiries for you is a separate Palby product: see how Palby answers WhatsApp enquiries.
Undo it within a day, from the browser you imported it on. That removes every contact the import added. Details it filled in on customers you already had stay put, and the screen says so before you undo.
That depends on what they agreed to, and it's your call. Palby CRM keeps the record for you: consent per channel with when and how, and Do not contact skipped on everything it sends by itself.
It runs in your phone's browser, laid out for a phone. Add it to your home screen and turn on alerts. There's no App Store or Google Play app yet.
There's no public price for Palby CRM yet, so you'll get a price for your team on the walkthrough.
Every week without a list is a week of customers going cold.
No IT team, no weekend of setup. Bring the spreadsheet you keep.
