Who it's for, what you'll do, what it costs

It takes a few minutes. Your business details stay in this browser for next time.

  1. 01Put in your business and your customer, the quote number, the date and how long the price holds.
  2. 02Add a line for each item with its quantity and price. Tick GST if you're registered, and it adds 9%.
  3. 03Add your terms, download the PDF, and note the valid-until date as the day to follow up.

What a quote should say

A quote that answers the questions gets a yes sooner than one that starts an email thread.

  • What's included, line by line, and what isn't. "Two rounds of changes" saves an argument later.

  • The price before GST, the GST and the total, so there's one number to agree to.

  • How long the price holds. 14 or 30 days gives you a reason to follow up.

  • What happens next: the deposit, when you start and how they say yes.

Three templates to copy

Starting points, not legal advice. For a large job or anything unusual, have a lawyer read it first.

  • Quote terms: how long the price holds, the deposit, when the rest is due, changes, cancellation and GST.

  • Service agreement: one page for who does what, the price, the timing, changes, cancellation and how either side ends it.

  • Change request: a short note to agree a change to the work and its price before you do it.

  • Pick one under the quote, change the brackets to your details, and copy it or print it.

Follow up on every quote

Most quotes that go quiet are still being thought about.

  • 01The day you send it, with a short email
  • 02Three days later, to check it reached them
  • 03A week before it runs out
  • 04The day after it runs out, with a new date

Know which quotes to chase today

Palby CRM doesn't send quotes. It keeps the deal, its lines and the date you'll follow up.

  • Products and deal lines that add up to the deal's amount
  • A follow-up date on every customer, and today's list of everyone due or overdue
  • Several deals per customer, each with its own stage and close date
  • Cards that sit too long at quote sent get flagged on the board
