Merge duplicate contacts
Don't call the same customer from two different cards.
If you've imported the same spreadsheet twice, or added someone who was already there, Palby finds the pairs and merges each into one card, with every note kept.
30 minutes. You choose the day and the time.
- Jessica Lim and Mrs LimSame number, 3 Feb and 28 OctKeeps Jessica Lim and gains: an email, 2 notes
- Ryan Koh and Ryan KohSame email, 12 Mar and 1 NovKeeps the older card

Twice in the list
See the whole story on one card, not two
A parent asks about P5 maths in March. In October she writes again as Mrs Lim, and someone adds her as new. Now March's notes are on one card and October's question is on another. Whoever calls her back knows half the story.
01On import
Stop duplicates at the door, when you import.
You import this month's enquiries from the same sheet as last month. Palby asks what the import is for: add and update, add new only, update existing only, or add every row. Pick what counts as the same person, the email, the phone number or the name. A row that matches someone you have updates their card instead of copying it.
- The same customer twice in one file becomes one card
- Keep what's there and fill only the blanks, or let the file win
- A blank cell never erases anything
- This import is forAdd and update, add new only, update existing only, add every row
02Already in
Find the customers already in your list twice.
You know Mrs Lim is in there twice, and she probably isn't the only one. Open Find duplicates on the pipeline. It lists the cards that share a number, an email or a name, strongest match first, and shows what the card you keep will gain.
- Same number, same email or same name, on each pair
- Tap Keep this to keep the other card instead
- Nothing changes until you merge
- Find duplicatesCards that share a number, an email or a name3
03The merge
Keep every note when two cards become one.
Before you call her back, you want March's notes and October's question on one card. Tap Merge, then Merge and delete the other card. The card you keep wins on every field it has filled in, and its blanks fill from the other. Notes, deals, tasks, appointments and history all move across.
- Tags and other lists are combined
- The other card goes once its notes have moved
- Different numbers or emails? You pick the card to keep first
- Mrs Wong and Wong Siew LanMergeTap 1
04On the record
Merge one customer's twin from their record.
You're typing a number into a new card and it looks familiar. The field says so: "Also on Jessica Lim, added 3 Feb." Open that one to check, or merge into it from there.
- On the phone and email fields
- Open that one, or Merge into it
- The same two-tap merge

Clean customer data, in small ways
Goes well with
Ready to have each customer on one card?
Start with the spreadsheet you've imported more than once.
30 minutes. You choose the day and the time.
Before you merge anything
Can you merge without losing a customer's notes?
Yes. Every note on both cards ends up on the one you keep, with the deals, tasks and appointments. A filled-in field on the card you keep is never written over.
No. That's why it takes two taps, and why each pair shows what the card you keep will gain before you go on.
Only if you tap Merge. Same-name pairs come last, as the weakest match, so check the number before you do.
Palby asks you to pick the card to keep first, and that card's number stays. Open the other card and note anything you need before you merge.
No. Both cards have to be in the same pipeline.
There's no public price for Palby CRM yet, so you'll get a price for your team on the walkthrough.
