Who to call first

Enquiries come from WhatsApp, ads and referrals. Nobody knows who to call first

Twelve people asked about servicing last week. Some replied twice, one booked, and three were never called back. In a chat list they all look the same. Here each one has a source, a score and a next step.

01Source

Know where every enquiry came from.

Every new customer keeps where they came from: a WhatsApp chat, an import or a name typed by hand. It's written once and never overwritten, so the first source stays on the card whatever changes later.

  • Set when the customer first arrives
  • Never changed by later edits
  • A Source dropdown of your own, too, like Walk-in or Event

02Score

See who's warm, and why.

Each enquiry gets a score out of 100 and a band: Cold, Cool, Warm or Hot. Open "How this is scored" and every line shows its reason, like 25 for replying three times or minus 10 for two quiet weeks.

  • Replies count most, and recent ones count more
  • A booked appointment and a moving stage add to it
  • Silence takes points away

03Not yet called

Find the ones nobody has called yet.

The Never contacted view lists every customer with no note, done task, chat or stage move yet. Created in the last 7 days shows this week's arrivals. Start each week with both.

  • Never contacted, ready on every pipeline
  • Created in the last 7 days beside it
  • Hot leads, sorted by score

04Next step

Give every enquiry a next follow-up date.

Set a follow-up date as you finish the call, with one tap for tomorrow or next week. On the day, they're on Next activity due. Anyone still waiting with no date lands in No next step.

  • Tomorrow, 1 week, 1 month, 3 months or a year
  • Next activity due lists today's and the overdue
  • No next step catches the rest

05Before you call

See the full story before you call.

Open the card and the chats, notes, tasks and appointments sit together, with the newest first. Press Generate and AI sums up the record in a few lines.

  • Chats, notes and events on one timeline
  • Tasks and appointments on their own tabs
  • Where they came from, on the card
