WhatsApp follow-up automation
Follow-ups that don't slip, and don't nag.
A check-in when a chat goes quiet, a reminder before each booking, and a reply to the message nobody got to.
30 minutes. You choose the day and the time.
How much is the 10-class pack?
Daniel, Mon 7:40pmHi Daniel! It's $260 and lasts three months. Want me to hold a spot in Thursday's 7pm class?
The agent, Mon 7:41pmHi Daniel, just checking: still keen on Thursday 7pm? Happy to hold it till noon tomorrow.
The agent, Tue 7:45pmCheck-in: a day later, before 9pm; Then it waits
What it sends
Every follow-up it sends, and the ones it won't
He asked the price and went quiet. Usually nobody follows up. When someone does, it's three messages in two days, and that's how numbers get restricted.
01Quiet chat
One check-in, a day after a chat goes quiet.
A lead asks your price, then says nothing. The agent checks in at least 24 hours after your last message, and never between 9pm and 9am. Set it to once or twice. Then it waits for their reply.
- Your words, so it doesn't repeat the question they ignored
- Counts your team's messages, not just its own
- Stops when they write back
- Farid IsmailSounds good, let me think about itCheck-in at 10:30am
- Kavitha RajYou: Hi Kavitha, thanks for asking about weekly cleaningNever chased
- Mei Ling TanSaturday 9am pleaseMid-chat
02Let me think
Check back when they said they'd decide.
"Let me check with my husband." When a lead says they'll get back to you, the agent waits, then checks in once. Three days to start, a fortnight at most.
- Waits the days you set
- One check-in on a promised wait
- No early check-in while they're deciding
The 10-class pack sounds good. Let me check with my husband first
Michelle, Mon 8:10pm
03Before the booking
Fewer no-shows, with a reminder before each booking.
Pick when the agent reminds them: the morning of at 9am, a day before, two hours before, or your own times. It comes from your WhatsApp number, in the agent's words.
- The morning of, a day before or minutes before
- Your own times too
- Moves with the booking when the time changes
Hi Michelle, a reminder our team arrives Thu 3:00pm for your deep clean. See you then!
Goes Wed 3:00pm
Thanks for having us today, Michelle. If you're happy with the clean, would you leave us a Google review?
Goes Thu 5:00pm
04In a workflow
Time each follow-up for your working hours.
Workflows can wait too. Hold a lead until the next day and time you pick, in Singapore time. Or check the time first, and send people outside your hours down another path.
- Wait for minutes, hours or days
- Wait until a day and time
- Wait until a tag or status changes
- StartDaniel asks about a trial class, Sun 11:40pm
05The missed one
Answer the message nobody got to.
Sometimes a customer's message just sits there. Turn on the daily sweep, and once a day the agent answers anyone whose message waited 12 hours or more. It's off until you switch it on.
- Messages that waited 12 hours or more
- Answered by the agent, in its own words
- Daily sweepOnOff until you switch it on
06The rules
Why it won't chase a stranger
Chasing people who never wrote back is how WhatsApp numbers get restricted. So on a business line, someone who never answered your first message gets no check-in. Nor does anyone who asked you to stop.
- None to people who never replied
- None to anyone who asked you to stop
- None at night, by default
- DanielAsked the price, then went quietGets one check-in
And the rest
And the small settings behind every follow-up
Goes well with
Let the quiet ones hear from you, without the nagging.
Start with the one follow-up you always forget to send.
30 minutes. You choose the day and the time.
Before it follows anyone up
Worried it'll nag your leads?
No. It checks in once or twice at most, each at least a day after your last message, and never at night unless you change the hours. Someone who never wrote back gets nothing.
Not the kind that keeps texting until someone gives in. It follows up people who've written to you, a little, and then it waits.
Yes. Write the words for the check-in, so it doesn't repeat the question they ignored.
It counts your team's messages too. A teammate's unanswered text counts toward the limit.
Nobody can promise it won't, and WhatsApp's help centre warns that linking through unofficial apps "may put your account at risk". So check-ins wait behind your number's safe gaps, and a risk check slows or pauses sending when the number looks at risk.
There's no public price for the AI agent yet, so you'll get a price for your team on the walkthrough.
