Insurance CRM
Hear about every renewal date a week before it passes.
Keep each client's policies, family and next follow-up on one record, and open one list of who to call today.
30 minutes. You choose the day and the time.

After the sale
The renewal date nobody wrote down is the client you lose
You sold Nurul her car insurance last December. This December, the renewal notice reaches her before you do, and a comparison site gets the call. The date was on a form in a file. On her record, it's a date field that emails you a week before.
01On the record
Keep each client's policies on a tab of their own.
Every record has a Policies tab. Make the fields you need there, like insurer, plan, policy number and renewal date, and attach the policy summary as a file. Link family members to each other with a linked contact field, so you see the household before you call one of them.
- A Policies tab on every record
- Files up to 10 MB, in private storage
- Family members linked on each card
02Renewals and dates
Know whose renewal is next week, while there's time to call.
Set any date field to remind you every year, or once, like a renewal date or a policy anniversary. An email arrives seven days before and on the day. Add a Birthday field, and an 8am email lists whose birthday it is.
- Yearly, or once
- Seven days before, and on the day
- Birthdays at 8am
03Today's list
Know which client to call first.
Next activity due lists every client whose follow-up is today or overdue, with the next thing on each: a claim form to send, a meeting, a call. Quick dates include In a year, for the review you promised at the last one.
- Overdue ones first
- Claim follow-ups as tasks on the record
- Pick In a year for next year's review
A week as an insurance agent
One referral, from a first meeting to next year's renewal

- TuesdayYou call and book a first meeting for Thursday at 7:30pm.A meeting on his card. He moves to Appointment set.
- ThursdayYou meet. He wants time to think.Fact-find done, your notes on the record and a follow-up for next Tuesday.

Stages
Stages from the first meeting to the yearly review.
Pick Insurance and financial advice when you start, and the board opens with New lead, Contacted, Appointment set, Fact-find done, Proposal out, Closed and Lost, and you can rename any of them. Everyone in Closed shows on the Clients view, and a follow-up set to In a year brings each one back for the review.
Goes well with
Call every client before their renewal date, not after.

What agents ask before they move their book
No. Save it as a CSV of up to 2,000 rows and import it. Columns are matched by name first, and any it can't place go to AI, which sees the header and three sample values, never whole rows. Imported the wrong file? Undo it within a day.
No. Palby CRM keeps your records and tells you who to follow up. It never suggests a product, a plan or a price, and what you recommend stays your work and your firm's.
Yes. Share the pipeline and pick a preset, like Assistant or ops, or tick the boxes yourself. Who can download it is a separate choice.
That depends on what they agreed to, and it's your call. Palby CRM keeps the record for you: consent for WhatsApp, email and calls, with when and how it was given, and Do not contact skipped on everything it sends by itself.
Not Palby CRM. It keeps the chats on the record and tells you who to follow up. Answering enquiries for you is a separate Palby product: see how Palby answers WhatsApp enquiries.
There's no price list on the site yet. You'll get the price for your team on the walkthrough, before you commit to anything.
