Mortgage CRM

Call your past clients before their lock-in ends, not after.

Save each client's lock-in end date and set the day you'll call. Keep the property agents who refer you on the same list.

30 minutes. You choose the day and the time.

  • Lock-in dates on a calendar
  • An email on the day and 7 days before
  • Referral partners in their own pipeline

Between cases

Past clients drift between cases while you're busy with new ones.

You helped a couple with their loan two years ago, and their lock-in ends next spring. You meant to call in the new year. Then three new cases came in, and by March a friend had pointed them to another broker. The date was in a spreadsheet you didn't open.

01Lock-in dates

Put every client's lock-in end date on one calendar.

Add a Lock-in ends date field to the pipeline. Switch the calendar to it and each client sits on the day theirs ends, a month at a time. Then give each one a follow-up date for the day you want to call, and on that day they're on your list.

  • The calendar goes by any date field
  • Follow-up dates a year out in one tap, or any day
  • Remind me: once, or every year

02Referral partners

Keep in touch with the property agents who send you clients.

Keep the agents who refer you in a pipeline of their own, with a follow-up date on each. Add a Referred by field to your clients that links to the agent's card, so you know who sent whom and can thank the right person.

  • Several pipelines, each with its own stages
  • A linked contact field
  • Inactive over 30 days, for agents you've gone quiet on

03Each case

See where each case stands, and what's still missing.

Name the stages the way your desk works, like Documents in and With the banks. A stage can ask for the fields it needs before a card moves in, and a case that sits in one stage for 14 days is flagged. Each client's documents sit on their card in private storage.

  • Up to ten required fields per stage
  • Stale after 14 days, or your own limit
  • Files up to 10 MB, with links that expire after an hour

A worked example

Palby CRM
  1. Early JanuaryMelissa and Imran broker home loans. Melissa switches the calendar to Lock-in ends and sees eleven past clients whose lock-ins end by June.
  2. The same afternoonShe gives each of the eleven a follow-up date in March, one or two a day.
  3. Mid-JanuaryDaniel, a property agent, refers a couple buying a resale flat. Their card links to his, and she sets his next coffee for February.
  4. MarchThe past clients come up on her list, one or two a day, each with the notes from their last loan on the card.

Goes well with

Call this year's lock-ins before another broker does.

Start with the past clients whose lock-in ends in the next six months.
