The pipeline
An interior design job is won at the site visit and lost in the two weeks after it, while the homeowner compares three quotes. This board keeps the quote chase and the handover on one card.
| Stage | Move a card here when | Needed to enter | Stale after |
|---|---|---|---|
| Enquiry | A homeowner asks about a renovation | 1 day | |
| Site visit booked | You've fixed a time to measure up | Site visit, Property type | 3 days |
| Design and quote sent | They have the layout and the quotation | Deal value, Scope, Next activity | 5 days |
| Closed | They've signed and paid the deposit | Amount paid, Works start | |
| Completed | You've handed over the keys | Handover date | |
| Lost | They went with another firm, or put it off |
Palby CRM counts Closed and Completed as won. The weeks of hacking, carpentry and finishing between them go in the Works stage field, so the board stays a sales board.
The fields
| Field | Type | Options or rule | Why |
|---|---|---|---|
| Property type | Select | HDB BTO, HDB resale, Condo, Landed, Office | Sets the scope, the rules and the budget |
| Key collection | Date | Remind me: Once, on the date | A week's notice before a new flat's keys arrive |
| Site visit | Date and time | When you're measuring up | |
| Address | Long text | Block, street and unit | |
| Postal code | Text | Text, so a 0 at the front isn't lost | |
| Size (sq ft) | Number | Drives the quote | |
| Scope | Multi-select | Hacking, Carpentry, Kitchen, Bathrooms, Electrical, Painting, Flooring | What's in the quote |
| Budget | Currency | S$ | What they said they'd spend |
| Works start | Date | When the team goes in | |
| Works stage | Select | Not started, Hacking, Carpentry, Finishing, Handed over | Where the works are after signing |
| Handover date | Date | Remind me: Once, on the date | A week's notice before handover |
| Lost reason | Select | Price, Chose another firm, Put it off, Did it themselves, No reply | Moving a card to Lost asks for it |
| Amount paid | Currency | S$ | What they've paid so far, as a running total |
Add Date paid next to Amount paid if you want the board's totals split by month.
The follow-up rules
- Reply the same day. Enquiry goes stale after one quiet day.
- Chase the quote within five days. Next activity is needed to enter Design and quote sent, and five quiet days flag the card. Homeowners usually decide while the site visit is fresh.
- Call before the keys. For a new flat, the Key collection email arrives a week before. Owners want the design agreed before they move, so that week is when they book site visits.
- Ask for photos and a review after handover. When a card moves to Completed, set the follow-up to In a month, once the furniture is in. That's also when to ask who else is renovating.
- Keep the photos on the card. Site photos, the floor plan and the signed quotation can go on the record as files, each under 10 MB, so nobody digs through a chat for them.
Keep your usual lines in a price list
Most quotes are built from the same lines: carpentry by the foot run, a kitchen package, a bathroom redo. Put them in your products list with a name, a price and a category. On each quote, add them to the deal as lines with a quantity and any discount, and the deal's value adds itself up. Change a price once, and the next quote uses it.
Set it up in Palby CRM
- Pick Home services, cleaning and repairs when you set up your business. Its stages are Enquiry, Quote sent, Job booked, Job done, Paid and Lost.
- Add Site visit booked before Quote sent, and rename Quote sent to Design and quote sent. Rename Job booked to Closed and Job done to Completed, and delete Paid.
- Add the thirteen fields, with Key collection and Handover date set to Remind me: Once, on the date.
- In each stage's settings, pick its Needed to enter fields and its Stale after days.
- Add your usual lines under Manage products, in any stage column's menu.
An example board on Monday 2 November, with made-up names
| Homeowner | Stage | Property type | Key collection | Deal value (S$) | Next step |
|---|---|---|---|---|---|
| Mr and Mrs Lim | Site visit booked | HDB BTO | 9 Nov | Measure up on Sat 7 Nov | |
| Siti Rahmah | Design and quote sent | HDB resale | 38,500 | Chase on Wed 4 Nov | |
| Daniel Ong | Closed | Condo | 62,000 | Works start on 16 Nov | |
| The Kumars | Completed | Landed | 120,000 | Ask for photos on 1 Dec |
The Lims get their keys on 9 November, so today's email listed them. The site visit is on Saturday, and the quote can be with them before they collect.
Use it as a spreadsheet
Copy these columns into Google Sheets or Excel, one row per job:
Homeowner | Phone | Address | Postal code | Stage | Property type | Key collection | Site visit | Size (sq ft) | Scope | Budget (S$) | Quote (S$) | Works start | Works stage | Handover date | Next step | Next step date
Keep the postal code column as text, and sort by Key collection every week.
