Two lists, and why
A florist's day runs on orders: who it's for, where it goes, which slot, what the card says. A florist's next month runs on customers: whose anniversary is coming, who orders every Valentine's Day, who sends flowers to their mother every year.
Palby CRM keeps fields on the customer, not on each order. So the customer list sets up there, with each customer's dates and their order history. Each delivery's own details, like the recipient and the card message, go in an order sheet. Here are both.
Part 1: the customer board
| Stage | Move a card here when | Needed to enter | Stale after |
|---|---|---|---|
| Enquiry | Someone asks for a quote or an arrangement | 1 day | |
| Quote sent | They have the price and a photo of the style | Deal value, Next activity | 2 days |
| Paid | They've paid for the order | ||
| Completed | It's been delivered | ||
| Lost | They didn't go ahead |
Palby CRM counts Paid and Completed as won. A regular moves back to Quote sent when the next order starts.
| Field | Type | Options or rule | Why |
|---|---|---|---|
| Birthday | Date | The customer's own. Fills the Birthdays view and the birthday email | |
| Partner's birthday | Date | Remind me: Every year | An email a week before, every year |
| Anniversary | Date | Remind me: Every year | The same, with the years counted |
| Occasion reminders | Checkbox | Ticked when they've said yes to hearing from you before their dates | |
| Usual order | Text | "Peonies, pastel, around S$120" | |
| Delivery address | Long text | Where their own orders usually go | |
| Postal code | Text | Text, so a 0 at the front isn't lost | |
| Company | Text | For offices with a standing order | |
| Amount paid | Currency | S$ | What they've spent with you, as a running total |
Each order goes on the customer as a deal. Name it with the date and what it is, like "14 Feb, 12 red roses", set Expected close to the delivery date, and add the items from your products list. A year of deals on one card shows you what they order and when.
Part 2: the order sheet
One row per delivery. Copy these columns into Google Sheets or Excel:
Order no. | Order date | Customer | Customer phone | Recipient | Recipient phone | Delivery address | Postal code | Delivery date | Time slot | Items | Card message | Total (S$) | Paid | Delivered
Each day, sort the sheet by Delivery date and then Time slot.
The follow-up rules
- Ask before you remind. A message offering flowers before someone's anniversary is a marketing message under the PDPA, and to a Singapore number it needs their clear yes in writing, or a Do Not Call Registry check. Ask when you take the date: "Shall we message you a week before next year?" Tick Occasion reminders if they agree.
- Message a week ahead. The Partner's birthday and Anniversary emails arrive seven days before, every year from the first date on. Message the customers whose box is ticked, and offer their usual.
- Reply to enquiries within the day. A florist enquiry is usually for this week, and Enquiry goes stale after one quiet day.
- Clear the recipient details after delivery. The recipient didn't give you their details, the customer did, for one delivery. Once it's done and paid, you rarely need them again.
- Plan the peaks. For Valentine's Day, Mother's Day and the festive season, look back at last year's deals and message last year's buyers early.
Set it up in Palby CRM
- Pick Home services, cleaning and repairs when you set up your business. Its stages are Enquiry, Quote sent, Job booked, Job done, Paid and Lost.
- Delete Job booked, rename Job done to Completed, and move Paid before Completed.
- Add the nine fields, with Partner's birthday and Anniversary set to Remind me: Every year. A field named Birthday can't take a reminder, because it has the birthday email instead.
- In Enquiry and Quote sent, set Needed to enter and Stale after.
- Add your arrangements under Manage products, in any stage column's menu.
An example board on Monday 2 November, with made-up names
| Customer | Stage | Anniversary | Occasion reminders | Usual order | Next step |
|---|---|---|---|---|---|
| Kelvin Tan | Completed | 9 Nov 2019 | Yes | Red roses, S$150 | Message today: anniversary next Monday |
| Mdm Lee | Paid | Yes | Orchids for her mother | Delivery Wed 4 Nov, 10am to 1pm | |
| Brightpath Dental | Completed | No | Reception arrangement, weekly | Standing order, Fridays | |
| Amanda Seah | Quote sent | Bridal bouquet | Chase tomorrow |
Today's email listed "Kelvin Tan, Anniversary (7 years)". His box is ticked, so today's message offers his usual, a week before the day.

Questions about the florist CRM template
Each customer's dates, like birthdays and anniversaries, their usual order and their order history. Each delivery's recipient, slot and card message belong in an order sheet.
Yes. In Palby CRM, set an Anniversary date field to remind you every year, and an email arrives a week before and on the day.
Get their yes first. A message offering flowers is a marketing message, and to a Singapore number it needs their clear consent in writing or a Do Not Call Registry check.
Because each delivery has its own recipient, address, slot and card message, and Palby CRM keeps fields on the customer, not on each order.
Yes, both parts are free to copy, and the customer board sets up in Palby CRM.
