How we picked

  • It plans a day, not just a list: dates, a calendar, and a way to see whether today fits.
  • You can start this week, without hours of setup.
  • What it costs, from each app's own pages, read on 31 October 2026.
  • Who it's built for, in the app's own words.

Palby Planner

We make Palby Planner.

Your tasks, your Google Calendar, your routines and your habits on one day. Type a task the way you'd say it, "dentist fri 3pm", and it lands on Friday at 3pm. Today shows only what's due, and a timetable puts the tasks on the hours beside your Google events.

Routines come back on the days you pick and nudge you on Telegram if they slip. Habits keep a streak, a 25-minute focus timer ticks the task off when you tap Done, and notes sit in folders beside the list.

  • Best for: planning your own day and week, home and work, on Google Calendar.
  • Pick something else if: you use Outlook or Apple calendars, want an app-store app, or want to start at no cost. It connects to Google Calendar only and installs from the browser.
  • Price: no published price yet. Book a walkthrough and ask.

Todoist

Todoist says 50+ million people use it. Smart Quick Add reads a date as you type, the Beginner plan has 5 projects and 3 filter views, and there's an app for Mac, Windows, Linux, iPhone, Android and watches. Pro adds a calendar layout, task duration and deadlines.

  • Best for: a fast to-do list on every device, from US$0.
  • Pick something else if: you want your calendar beside the list on the US$0 plan. The calendar layout is on Pro.
  • Price: US$0 Beginner, or Pro at US$5 a month billed yearly (US$60) and US$7 monthly, from its pricing page on 31 October 2026.

TickTick

TickTick puts tasks, five calendar views, a habit tracker, a 25-minute Pomodoro timer and the Eisenhower matrix in one app, on phone, computer, tablet and watch. The US$0 plan has 9 lists of up to 99 tasks.

  • Best for: a US$0 start with habits and a focus timer built in.
  • Pick something else if: you outgrow 9 lists or 5 habits; Premium lifts both.
  • Price: US$0, or Premium at US$49.99 a year.

  • Best for: a household that plans together.
  • Pick something else if: you want repeating tasks without paying; they are on Premium.
  • Price: US$0 Personal. Premium US$4.99 a month billed yearly or US$7.99 monthly. Family US$8.33 a month for 4, billed yearly.

  • Best for: a guided daily plan around your work tools.
  • Pick something else if: you want a plan that stays at no cost. Its pricing page says it has none.
  • Price: US$17 a month billed yearly, or US$22 monthly, after a 14-day trial.

Akiflow is one app for tasks and calendars, powered by AI, built for "founders, operators, and obsessed doers". Its universal inbox turns emails into tasks and saves Slack messages, and you time block the day from there.

  • Best for: work that arrives by email and Slack.
  • Pick something else if: your tasks are mostly your own, and an inbox to empty is more than you need.
  • Price: US$19 a month billed yearly, or US$34 monthly, after a 7-day trial.

Motion

Motion's AI calendar auto-plans your day, and the same app runs AI projects, docs and a meeting notetaker. It has iOS, Android and desktop apps.
