The short version

Stay with Google Tasks if a simple list inside Gmail and Calendar is enough. Pick Palby Planner if the list has outgrown that: you want projects, labels and priorities, a timetable for the day, and routines and habits beside it.

Who should pick which

Stay with Google Tasks if

  • You want tasks right inside Gmail, Calendar, Chat and Docs
  • A few lists with starred tasks are enough
  • You work in Google Workspace and assign tasks in shared docs

Pick Palby Planner if

  • Your list has grown past a few lists
  • You want to see the day on a timetable, beside your Google events
  • You want habits, routines and notes in the same place

Where Google Tasks is strong

Google Tasks is already where you work. It sits in the side panel of Gmail, Calendar, Chat and Drive, turns an email into a task in a click, and puts dated tasks straight onto Google Calendar. Tasks repeat daily, weekly, monthly or yearly, and sync on every device signed in to your Google Account. If you want a simple list with nothing new to learn, it fits better.

The three differences that matter

Room for a bigger list

Projects split into sections and steps, labels like @errands, priorities p1 to p4, and saved filters that show just what you need. Today shows only what is due.

The day on a timetable

Your Google Calendar events and your tasks sit on the same hours. Drag a task onto one, and the time can go back onto Google as busy.

Routines, habits and notes

Routines come back on the days you pick, with a Telegram nudge if they slip. Habits keep a streak. Notes sit in folders beside the tasks.

Switching in three steps

  1. Book a 30-minute walkthrough and see the planner with your Google Calendar.
  2. Connect Google Calendar, then add this week's tasks. There's no import from Google Tasks yet.
  3. Give each list its own project, and plan tomorrow on the timetable.
