Sales pipeline template: catch the deals that went quiet

One row per deal with its stage, value, next step and the last time you spoke, and totals that show what it's worth and what's gone quiet. Copy it, print it or download it for Word or Excel. Free, no sign-up.

A pipeline sheet usually fails the same way: the stage column stops getting updated, and a deal that went quiet in August still says "proposal sent" in October. This one asks for two dates on every deal, the last time you spoke and the next step. A quiet deal then shows up by itself, and each of the seven stages has a rule for when a deal can move.

Every deal and its next step on one sheet

Open deals: __ (every stage but Won and Lost)

Open value: ______

Weighted value: ______ (each open deal's value times its chance)

Won so far: ______

Gone quiet: __ (open deals you haven't spoken to in 14 days)

No next step: __ (open deals with no next step date)

Notes

The chances are a starting guess, not an average. After a quarter, use your own: of the deals that reached a stage, how many did you win?

Three rules that keep a pipeline honest

A pipeline is only worth reading if the stages mean the same thing every week.

  • Move a deal only when the stage's rule is true, not when it feels close
  • Every open deal has a next step with a date
  • Change Last spoke every time you talk to them

Monday's five minutes: who's gone quiet, and what's closing

Sort by Last spoke with the oldest first, then read the totals.

  • The deals you haven't spoken to in 14 days, called first
  • The open deals with no next step, given one
  • The weighted value against the month's target

A filled-in pipeline: 8 deals, 2 gone quiet

Leo Tan's pipeline, updated Monday 28 September, with a month's target of $40,000.

The totals add up: 7 open deals worth $67,000, weighted $30,400, and $7,000 won so far. Northgate Print and Tide Gym have gone quiet and Northgate has no next step, so Monday starts with those two calls.

When the sheet stops getting updated

The template is free. ActivityTracker, the app we make, is paid, and its CRM keeps every prospect on a board by stage, with their WhatsApp chats on their record, while a deal you close counts on the leaderboard straight away.

  • Stages that match how you sell
  • A board when you're moving people along, a list when you're reviewing the week
  • Update a prospect's stage between meetings, from your phone
  • Bring the spreadsheet you already keep, and undo the import in one tap if it's wrong
