Weekly sales report template: the number, the reason and the next step

The one page each rep sends on Friday, so you walk into Monday knowing which deals need you. Copy it, print it or download it for Word or Excel. Free, no sign-up.

A weekly report should answer three questions: what closed, what moved in the pipeline, and what's likely to close next. Most answer none of them and send a table of activity instead. This one gives every rep the same page, with the stuck deals and the asks at the end.

A filled-in example: a better week and one stuck deal

Priya Nair, week of 21 September. To: Dan. Sent Friday, 4:40 pm.
  • The week in one line: meetings came back to 7 after two slow weeks, because I moved calls to 9 to 11 every morning.
  • Activity: calls 52 of 60 (last week 47). Emails and messages 38 of 40 (41). Meetings 7 of 8 (5). Proposals 4 of 3 (2). New prospects 11 of 15 (9).
  • Deals: closed 1, worth $8,500. Month so far $19,500 of $30,000. Lost 1, worth $6,000: they went with a cheaper quote.
  • Pipeline: 14 open at the start, worth $96,000. 3 new, worth $21,000. Open now: 15, worth $102,500. Moved forward: Harbor Dental, from demo to proposal. Slipped: Kestrel Logistics, from 30 September to 15 October.
  • Wins: Harbor Dental asked for the proposal on the first call. A referral from last month's close booked a meeting on its own.
  • Stuck: Northgate Print, $12,000, proposal sent 2 September. Their finance lead hasn't replied. I'll ask the owner for a 15-minute call with her by Wednesday.
  • Next week: calls 60, meetings 8, proposals 3. Expect to close Harbor Dental ($9,000) by 2 October. One thing different: two questions before I give any price.
  • What I need: you on the Northgate call if she says yes, and a yes or no on 5% off for Kestrel by Tuesday.

The pipeline adds up: 14 + 3 new - 1 closed - 1 lost = 15, and $96,000 + $21,000 - $8,500 - $6,000 = $102,500.

How to write up a slow week without it reading like excuses

Give these to reps so a slow week still reads clearly.

  • A slow week

    • Put the short number in the one line, then the reason, then what changes on Monday.
    • Keep the reason to one sentence and let next week's plan do the rest.
  • A big win

    • Say what you did that worked, so it can happen again.
    • Name who helped.
  • A lost deal

    • Where it turned, and what they said no to.
    • What you'd do in the first meeting next time.
  • A week out of the field

    • Training, leave or a trade show: say so in the one line.
    • Report the numbers anyway, and set next week's targets as normal.
  • A new rep, first 90 days

    • Add one line: the call you'd redo, and why.
    • Ask for one thing each week, even if it's small.
