Free template for sales reps

Sales call log template: know who to call back tomorrow

Every call, what they said and when to call back, on one page, with the day's count at the bottom. Copy it, print it or download it for Word or Excel. Free, no sign-up.

Most call logs die by Wednesday because they ask for too much. This one has seven columns and six outcome words, so you can fill in a row before you dial the next number. At 5 pm you count three things and copy tomorrow's callbacks into your calendar.

Three rules that keep a call log filled in

The log only helps if it's full, so keep it quick.

  • Fill in the row before you dial the next number
  • Use the same six outcome words every time, so the counts at the bottom add up
  • Every call where you spoke to someone gets a next step and a date

Count your calls at 5 pm and see what one meeting cost you

Two minutes at the bottom of the page. Over a month, those counts tell you how many calls you need to make.

  • Calls made, spoke to the person, meetings booked
  • Calls divided by meetings booked, so you know what one meeting costs you
  • Tomorrow's callbacks, copied into your calendar before you log off

How to fill it in for cold calls, follow-ups and inbound calls

Swap these in when your day isn't a straight run of new calls.

  • A cold calling block

    • Fill in Name and company for the whole list before you start, so you only type the outcome between dials.
    • Leave What they said blank on a no answer.
  • A follow-up day

    • Start from yesterday's Next step column, oldest date first.
    • Write what they said last time before you dial, so you don't ask twice.
  • Inbound calls

    • Put "In" in the New or follow-up column.
    • Ask how they heard of you and write it in What they said.
  • A team log

    • Add a Rep column and keep one sheet for everyone.
    • Agree the outcome words first, or the counts won't match.
  • Your first month of calling

    • Count the end-of-day block every day, even when it's small.
    • After four weeks, divide calls by meetings booked. That's your own number to plan from.

Skip counting your calls on Friday

The template is free. ActivityTracker, the app we make, is paid, and it counts your calls with one tap each, so the numbers are there when you need them. Names, what they said and callbacks still go in your log or your CRM.

  • Tap Call when you hang up, and it's logged with the time
  • Today's calls add up as you go, next to everything else you logged
  • Logged one by mistake? Remove it and its points come off
  • Your weekly check-in shows the calls you logged, next to the target you set last week
