The short version
- Google Calendar connects through Pick a Time, the booking app we make, which you set up from inside ActivityTracker.
- Your busy times and confirmed bookings show in your planner.
- Switch on Block my Google Calendar and the blocks you plan show on Google Calendar as busy.
- A routine, like a morning call block, can go on your calendar as a repeating event.
- Clients book you on a page that only shows the times you're free.
How to connect Google Calendar
- In the app, open Integrations and find Calendar sync. Tap Set up.
- Pick a Time opens. Sign in, and link your Google Calendar there.
- You're sent back to your planner. If the Google Calendar step was skipped, the card says so and shows Finish setup.
Then, under Booking page, tap Create my booking page, or paste the link to one you already have.
Your busy times in the planner, your planned calls on the calendar
| What | Which way | When |
|---|---|---|
| Busy times from Google Calendar | Into your planner | Each time you open the planner, and again when you come back to it |
| Bookings made on your booking page | Into your planner | The same |
| Blocks you plan in the timetable, one-off or repeating | Onto Google Calendar, as busy events | As you add, move or delete them, once Block my Google Calendar is on |
| A routine, like 10 calls every morning | Onto Google Calendar, as a repeating event | When you switch on Add to my Google Calendar for that routine |
Block my Google Calendar is off until you switch it on in the planner. Calendar by calendar, you also choose whether its events show in the planner, whether their titles show, and whether they count as busy when Plan My Day fills your day. Routines have their own switch.
A booking page that only shows the times you're free
Your booking page is one link clients use to book you. It reads your Google Calendar, so a time you're busy never shows. Copy the link from the card and send it, or put it on your website.
When your AI agent or a workflow books a meeting for a WhatsApp lead, it books it on the same page. The meeting lands on your Google Calendar like any other booking.
For managers: one-on-ones booked straight onto the calendar
If your team uses Coaching, a manager can connect Google Calendar to their coaching booking page too, in the coaching settings. It works both ways: your busy times hide slots, a booked one-on-one creates an event, and the rep gets an email invite. Delete the event in Google Calendar and the booking is cancelled. You can add a Google Meet link to every booking.
What it won't do to your calendar
- It doesn't write anything to Google Calendar until you switch on Block my Google Calendar, or add a routine.
- It doesn't pull event details into your client records. The planner shows the times so you can plan around them.
- Disconnecting stops the sync and switches the writing off. To remove access completely, revoke it in Pick a Time's settings.
