Free template for sales reps

Daily sales routine template: what to do first every morning, and who to call each day

A time-blocked day with the calls first, and a weekly prospecting schedule that gives each day its own list. Copy it, print it or download it for Word. Free, no sign-up.

If the calls aren't in the calendar, email and admin take the morning. This routine blocks two hours of calls before anything else and puts follow-ups and meetings after them, with 15 minutes at the end to set up tomorrow. The weekly schedule under it decides who you call on each day, so the list is ready when the block starts.

Rules

The call block goes in the calendar like a meeting. Move it only for a customer.

No email or chat during the call block.

If the day runs over, cut admin, not calls.

Three rules that keep the calls in the day

A busy day squeezes out the call block first, so it gets rules.

  • The call block goes in your calendar like a meeting
  • No email or chat until the block is done
  • When the day runs over, admin moves and the calls stay

Set up tomorrow before you log off

With fifteen minutes at 5 pm, the morning starts with a list instead of a search.

  • Tomorrow's call list, from the day in the weekly schedule
  • The callbacks you promised today, with their times
  • The one proposal or quote that has to go out tomorrow

A filled-in routine: 40 calls a day, and who they go to

Tom Reyes is an account manager at an office fit-out company, and his work hours are 8:30 to 5:30.
  • Calls planned a day: 40, with 25 in the morning block and 15 after lunch.
  • Monday, 35 calls: callbacks from last week's next steps and the 12 deals in his pipeline.
  • Tuesday, 50 calls: new prospects from the trade show list.
  • Wednesday, 30 calls: customers who bought in the last year, whom he asks who else is moving office.
  • Thursday, 45 calls: deals and leads with no reply in 30 days.
  • Friday, 40 calls: past customers due a check-in, then the week's count at 4:45.
  • End of the week: 187 calls of 200. The call block happened 4 days of 5, because Wednesday's moved for a customer visit, so next week Wednesday's block starts at 9:30.

The week adds up: 35 + 50 + 30 + 45 + 40 = 200 calls, 40 a day.

Out in the field or working part-time? Keep the calls first

The blocks move around, and the calls still come first.

  • Field sales

Use the morning block to book visits, and plan the afternoon's route by postcode.

  • Part-time or your own business

One hour of calls at the same time every day beats a whole afternoon once a week.

  • Lots of inbound leads

Put a 30-minute block at 10 and another at 3 to answer every new enquiry.

  • A new rep

Halve the call block for two weeks and sit in on a colleague's calls in the other half.

  • A sales manager

Put your team's 1:1s where the reps' call blocks aren't.

Get a WhatsApp nudge when it's time for the calls
