How to calculate your consulting rate

Add what you need to earn to what the business costs, and divide by the hours you can bill.

  2. 02Put in the weeks you'll work, after holidays and the odd sick week.
  3. 03Put in the hours a week a client pays for. Selling and admin stay out.

How many clients and discovery calls your income needs

Add the clients step and the calculator works forward from your hours.

  • 1,200 billable hours at 10 hours a client a month is 10 clients at a time.
  • If each client stays 6 months, 10 at a time means 20 new clients a year.
  • If 1 discovery call in 4 becomes a client, 20 clients take 80 calls, so 2 a week.

The costs most consultants forget

The rate has to pay for the business before it pays you.

  • Software, your website and the tools you pay for monthly
  • Insurance, an accountant and any licences or memberships
  • Travel to clients, and the courses that keep you current
  • The weeks between projects, when nobody is paying you

A worked example whose sums add up

The sums behind the default numbers. Put the same numbers in and you'll get the same answer.

  • $110,000 of income and $10,000 of costs is $120,000 a year to earn.

  • 48 weeks at 25 billable hours is 1,200 hours.

  • $120,000 over 1,200 hours is $100 an hour, and 8 hours is $800 a day.

  • At 25 hours a week, 20 hours a week would need $125 an hour for the same year.
